SUMMARY:

Responsibilities include supporting the PowerSchool student information system (SIS) and its use at Los Alamos Middle School (LAMS); ensuring data integrity for information maintained in the SIS; building and maintaining the middle school master schedule and student schedules; working closely with administration, faculty and staff to create, build and load custom reports, report cards and transcripts.  Provide PowerSchool data exports to interface with other software and reporting systems.  Assist in registering and providing information to new students; verify, maintain and transfer student records.

ESSENTIAL FUNCTION STATEMENTS

  • Utilize PowerSchool SIS to enter, maintain and extract data on middle school students.
  • Utilize PowerSchool Scheduler software to set up master schedule and schedule students.
  • Support administrators, counselors and staff with student course enrollments, transfers and drops.
  • Print schedules for registration.
  • Coordinate with LAMS bookkeeper and librarian to identify students with outstanding fees/fines.
  • Assign case managers in PowerSchool for special education students, as provided by LAMS special education site contact.
  • Create and maintain PowerSchool reports, report card and transcript object report templates specific to LAM
  • Print and file any documents needed in cumulative folders, i.e report cards, testing documents, court orders, etc.
  • Run report cards / D’s & F’s reports; email contacts; maintain spreadsheets for
  • Set up and maintain parent and student accounts on the PowerSchool Parent/Student Portal.
  • Extract data from PowerSchool as requested by administrators, counselors or other staff to use in data-driven decision-making processes. Analyze extracted data and select the most appropriate presentation method to provide meaningful reports using Google or other data manipulation / reporting tools.
  • Work with the Systems Manager to ensure integrity of middle school membership data.
  • Create Master Schedule using PowerSchool PowerScheduler. Work closely with school administration, counselors, and department heads on student and teacher scheduling needs.
  • Ensure middle school course codes adhere to NMPED STARS course coding guidelines.
  • Ensure all students have valid course enrollments.
  • Assist school personnel to produce reports as needed including GPA, district student membership, class rosters, report cards and transcripts.
  • Serve as the middle school contact for PowerSchool support and, when necessary, confer with district Systems Manager for additional support and escalation to software vendor.
  • Attend PowerSchool user group meetings and other training to develop and retain a high level of expertise in all areas of the PowerSchool information system.
  • Alert appropriate administrator(s) of data findings that may adversely affect the school/district grades or AYP rating.
  • Provide additional support to Systems Manager on a time available and as-needed basis.

QUALIFICATIONS- Desired skills and qualities:

  • Demonstrated understanding of relational databases, tables and views.
  • Strong Google Sheets skills with proficiency using advanced spreadsheets, formulas, functions and pivot tables.
  • Detailed and multi-task oriented with a strong sense of deadlines.
  • Ability to maintain a high degree of confidentiality.
  • A self-starter who has the ability to work independently with limited supervision, yet responsive to the needs of others.
  • Team player with excellent listening skills and ability to formulate solutions based on communicated needs and requirements; works collaboratively with other team members.
  • Follows direction to attain mutually agreed upon outcomes.
  • Excellent organizational skills; strong oral and written communication skills with the ability to write technical directions for non-technical end-users.
  • Superior computer/technology skills with the ability to use all above-mentioned software and learn new software and systems quickly.
  • Strong communication skills. Must be able to positively communicate with students and parents.

Education and Experience Guidelines:  Any equivalent combination of education and/or experience that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

Education:

  • High School diploma or equivalent required.
  • College level course work or degree a plus.

Experience:

At least two years experience in a school setting using PowerSchool student information system preferred.

 

PHYSICAL DEMANDS AND WORKING CONDITIONS

Environment:  Office environment; exposure to computer screens; extensive contact with faculty and staff.

 

Mobility:  Essential and marginal functions may require maintaining physical condition necessary for sitting for prolonged periods of time; extensive use of computer keyboard; and moderate or light lifting.

 

Vision:  Vision sufficient to read small print, computer screens and other printed documents.

 

Starting Hourly Rate $21.12

1.00 FTE- 8 hour shift, 40 hour week

215 work contract- July 15, 2024 to June 12, 2025
