Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent administrative and communication skills, as well as the ability to multitask and prioritize tasks effectively. As an Administrative Assistant, you will provide support to various departments within the organization and ensure smooth day-to-day operations. Responsibilities: - Answer and direct phone calls in a professional and courteous manner - Greet visitors and direct them to the appropriate person or department - Assist with managing calendars, scheduling appointments, and coordinating meetings - Prepare and distribute correspondence, memos, reports, and other documents - Maintain accurate records and files, both electronic and physical - Provide administrative support for various projects and initiatives - Assist with basic bookkeeping tasks using QuickBooks software - Handle customer inquiries and provide exceptional customer support - Manage office supplies inventory and place orders as needed - Perform general office management duties, including organizing files, maintaining office equipment, and ensuring a clean and organized workspace Skills: - Proven experience in an administrative role - Excellent phone etiquette and strong communication skills - Proficiency in using QuickBooks for basic bookkeeping tasks - Familiarity with medical office procedures is a plus - Strong organizational skills with the ability to multitask and prioritize effectively - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides) - Previous experience as a medical receptionist is a plus - Ability to maintain confidentiality of sensitive information - Exceptional attention to detail This is a full-time position with competitive pay.
