A Special Events Producer will be responsible for a range of events, including (but not limited to):
Cosmetic Surgery Forum (CSF) – an annual, multi-specialty educational symposium for physicians
Retail customer and patient events
Managing tradeshow or meeting preparations as needed

Founded by LovelyGroup’s owner and CEO, Dr. Joel Schlessinger, MD, Cosmetic Surgery Forum (CSF) is a conference at which physicians from across the globe meet to discuss the latest research, treatment and techniques in dermatology and cosmetic surgery. But, it is also so much more.
Throughout the year, the Special Events Producer will ensure that CSF provides thoughtful and insightful professional content (video and blogs) while hosting virtual sessions and panels on top-of-mind subjects when it is important for the physician community to gather. The conference itself is fun, interesting and engaging like no other CME meeting in the space. It will be the responsibility of the Special Events Producer to orchestrate the meeting in such a way that the experienced cosmetic and dermatologic surgeons from around the world who gather at CSF will enjoy one of the most educational and interactive meetings in the industry.
Tradeshow, meeting/conference attendance and marketing events often take a substantial amount of pre-planning and execution. As the Special Events Producer, you would work closely with the appropriate stakeholders and play a key role in supporting those team efforts.
A Day in the Life:
As the Special Events Producer, you will be responsible for the execution of event planning tasks lead by the Conference Producer. Together you will work closely with the meeting founders (CSF), SchlessingerMD Clinic Manager and the Retail Store Manager (in-store events).
The Special Event Producer drives the execution of related marketing and informational assets, assists in the scheduling and development of the overall event format and meeting agenda, and will support the careful curation of the overall experience of all events and meetings for participants.
Works closely with our writers, videographer, photographer, graphic designers and CSF faculty to create fresh, professional content
Responsible for communications and arrangements for the three key groups essential to CSF’s success: Faculty, Resident/Fellows/Program Directors and Exhibiting Partners
Works closely with CSF’s logistics partner and meeting site staff on items including (but not limited to): accommodations for faculty, resident/fellows/program directors and CSF staff, rooming audits, general partner needs and questions, food & beverage planning and audits, meeting BEOs, on-site signage and branding, attendee and exhibitor registrations and other miscellaneous requests. Will do the same for other events as-needed.
Works closely with CSF audio and visual team on individual session needs, session scheduling, event staffing, live demonstrations and sponsored breakout session equipment and set up/strike coordination
Works closely with our CME provider-partner ensuring all CME requirements for the meeting are met, including (but not limited to): grant support (research on learning objectives, composition, submission, summary and reconciliation of), language on website and marketing material meets CME requirements, CME presentations are submitted and peer-reviewed in a timely manner, and that all faculty paperwork (including disclosures and W-9s) are collected and submitted to the correct entities
Organizes cross-team execution of projects as related to CSF website content, control panel updates and functionality, accounting and marketing
Sells and arranges ancillary events, advisory boards and special sessions for CSF partners by negotiating contract agreements, confirming location, meeting food & beverage minimums, and managing expectations and deadlines of each
Onsite CSF responsibilities include (but are not limited to): sorting shipped supplies and materials, assembling conference bags and room drops, pre-conference meeting with site and logistics staff, confirming conference rooms are set up accordingly, confirming signage is accurate, arranging return overseeing disbursement of reimbursements for residents, program directors and faculty
Creates, executes and is responsible for completion of marketing and informational initiatives appropriate to each event (including but not limited to: e-blasts, mailers, postcards, print publications and published articles, signups and disbursement of event information to participants)
Assists in developing event and meeting agendas and manages changes due to availability or other issues which may arise
Arranges for (including shipping and tracking when required) event management items ranging anywhere from administration and office materials, video and photo equipment, nursing and live demonstration equipment to booth setup gear, required items for community service opportunities and necessary items for employee events
About you:
Bachelor's degree
3-5 years of experience in a hands-on multi-media marketing role or event planning position
A positive, solution-oriented attitude
Excellent written and verbal communication skills, including writing grammar, spelling and punctuation
Able to comfortably work in a fast-paced, evolving environment
Able to deliver materials and projects on time and on budget
Ability to utilize Adobe Creative Suite and various scheduling programs for marketing efforts
Experience successfully producing professional-level educational content
Comfort executing meeting event sales and negotiating pricing
Ability to think globally and develop plans that are strategized to prevent as many potential issues as is possible
Skilled at thinking on your feet and problem-solving in the moment without telegraphing excessive stress or agitation
