POSITION SUMMARY:
The Project Manager within People Services will utilize their multi-talented skills to support and oversee three core functions within the department. The focus of this position is to serve as executive administrative support to the CPO, support department level events and coordinate all-staff events as well as oversee planning for office moves. This position is highly administrative and requires someone who is great at multi-tasking, communicating, and staying organized.
Chief People Officer Support
This position requires someone capable of managing calendars, expense reports, and coordinating travel. The individual will be exposed to highly sensitive information/material, which requires an acute awareness of confidentiality is required. The selected individual will utilize their expert administrative skills to stay organized, balance priorities, and act with little oversight.
Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Visio will be extremely useful. Having some familiarity with human resources acumen will also be helpful.
The individual selected will have effective communication skills, both written and verbal and can work with staff across the organization at various levels. The individual will recognize that this role represents the CPO and will uphold the highest level of decorum and professionalism.
Events Oversight
The individual selected will possess an innate joy and curiosity for the art of event design and how events foster relationships, connection, and collaboration. They will be proactive, strategic, and detail-oriented, with a solutions-oriented project management approach and experience with both in-person and virtual events. This person will play a leadership role managing varied special projects, will naturally “connect the dots” in projects with multiple moving parts, and thrive in a fast-paced, dynamic environment. The Project Manager must possess a strong ability to anticipate needs, plan-ahead, and consistently operate with a high-touch client-service orientation.
The Project Manager will research and evaluate potential venues and vendors to determine those that would be appropriate for LIIF events, including establishing criteria for suitable vendors, conducting site visits, evaluating costs and budgets, and negotiating the rental of event spaces, audiovisual equipment, food and beverage service and other services and products. Maintains relationships with vendors and venues, exploring options as needed to ensure LIIF receives best rates.
Office Administration Support
The Project Manager will serve as lead for office relocation projects, which will require someone able to travel sometimes on short notice. The selected individual will partner with CPO, Legal, and Executive Team on logistics, communication, and planning.
Proficiency with project management software will help selected individual stay organized, track performance, and communicate progress and/or delays in a timely fashion.
The Project Manager easily connects with people and has a detail-oriented mindset to manage the changing nature of the workforce.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Manage complex office administrative work requiring the use of independent judgment and initiative.
- Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports.
- Schedule meetings and maintain CPO’s calendar.
- Manage confidentiality of highly sensitive information.
- Exhibit innovative mindset that enables you to make quick adjustments to project deadlines or assignments.
- Liaise between various departments and groups on behalf of CPO to relay feedback and evaluations from one department to another.
- Present periodic reports to senior managers on People Services projects and progress.
- Proactively support teamwork through dynamic project plan development and coordination, helping to balance competing priorities, anticipate upcoming needs and tasks to ensure that deadlines are met.
- Provides expertise to staff in the planning and execution of events.
- Design and manage events systems to support a robust participant meeting experience both in-person and virtually.
- With the goals in mind, determines optimal event format and scheduling.
- Plans and manages all logistics including room set-up, event flow, staffing assignments, LIIF branding and signage, and oversees design and development of any onsite collateral, including print materials and presentations, to support the messaging of the event.

EDUCATIONAL AND OTHER REQUIREMENTS:
- An advanced degree in business administration, human resources, project management, or a related field preferred
- Minimum Bachelor’s/Associate degree - Graduate from an accredited school. Area of emphasis: business administration, human resources, project management, or a related field.
- Minimum of 2 years of demonstrated success in supporting C-Suite team.
- Minimum of 3 years leading projects, coordinating events, and/or supporting office logistics.
- Experience working with multi-state, multi-location environments preferred
- Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.
- Minimum of 1 years of demonstrated success working within a not-for-profit, face paced environment.
- Travel as needed - The incumbent may need to travel to other LIIF offices, currently in San Francisco, Los Angeles, DC, Atlanta, New York and affiliates in Ohio
- Valid Driver’s License Required - Driving to meetings and/or events may be necessary.
