Description
The Contract and Risk Coordinator is part of the PQI Team and provides administrative and project support in areas related to request for client records, retention and destruction of client records, insurance renewals, contract execution, BAA tracking, LSS contract data base, other technology oversight for externally supported PQI systems and insurance claims for property, auto and liability. This role serves as the LSS contract administrator and primary contact for external customer inquiries. As the role touches many areas of operations, the successful incumbent will be comfortable cocreating with a number of individuals as well as facilitating information flow to outside contacts.
Essential Duties and responsibilities:
This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.
Responsibilities related to operational support:
- Update and provide training to administrative staff on processes of: records request, record retention and destruction and the Iron Mountain connect website.
- Update and train contract administrators on the rate renewal process, contract database and BAA tracking.
- Serves as admin for and responds to inquiries related to externally hosted technology solutions and data base systems which may include: PowerDMS, DocuSign, Language Line and Iron Mountain online portal.
- Work with LSS admin staff and leaders to schedule Iron Mountain regular shred and special pick-ups.
Responsibilities related to risk reduction:
- Administer insurance claims for property, auto, liability, etc., and coordinate between brokers and attorneys when necessary.
- Supports administration of insurance renewals
- Maintains up to date list of programs for insurance coverage
- Supports and responds to general internal and external inquiries about insurance renewals and claims .
- Maintains system for tracking and recalling business associate agreements (BAA).
Responsibilities related to areas of compliance:
- Monitor Contract Administrator email and address matters in an efficient manner by initiating or completing all requests within a 48 hour period.
- Ensure all components of the contract review and approval process have been followed by all parties prior to requesting signature.
- Prepares contracts for execution and collaborates with COO to ensure process for timely signature and approval of contracts.
- Work with IT staff and contract administrators to ensure the contract database system operates properly and information is accurate (flow of approvals, monitoring deadlines, etc.)
- Oversees and maintains file retention and destruction process including the formal policy and procedure.
- Supports special topic meetings related to compliance including: CLAS workgroup, data integrity work group and PowerDMS workgroup.
Responsibilities related to quality improvement:
- Identifies and implements process improvements related to areas of responsibility.
- Support PQI in Quality improvement initiatives
- Participate and co-lead result based facilitation (RBF) sessions
- Special projects and other duties as assigned.

Qualifications

EDUCATION AND/OR EXPERIENCE:
- High school diploma or equivalent required. Bachelor's degree preferred. In lieu of degree, at least 3 years of related experience is required.
- In addition, strong administrative experience, proficiency in Microsoft Outlook and other Microsoft Suite applications and experience in project coordination required. Strong computer skills are required, with experience in learning and enhancing uniquely designed applications preferred. Experience and knowledge in contractual and insurance obligations, formats and requests preferred.
- Strong initiative, organizational skills and a high attention to detail.
- Ability to take work direction from a number of people and prioritize effectively.

- This position will interact with all stakeholders of LSS, both internal and external. This position will need to make decisions independently and with guidance, based on information provided.
CERTIFICATES, LICENSES, REGISTRATIONS:
The incumbent of this position must have a valid Driver's License. Motor vehicle check (MVR) with a satisfactory driving record required.
LANGUAGE SKILLS:
Ability to communicate both in verbal and written format, effectively and efficiently in job is required. Ability to read, analyze and interpret general correspondence and paperwork. Ability to effectively present information and respond to questions from internal and external clients. Ability to communicate with Executive Management and complete due diligence related to contract execution.
COMPUTER SKILLS/TECHNOLOGY:
Working knowledge of computers to allow employee to access computer systems and applications to complete timecards, read and respond to email, and complete required on-line training. During the performance of his/her job duties, the incumbent will be required to utilize a personal computer, printer, photocopier, fax and telephone, and various types of audio visual equipment. This position will require knowledge of the Microsoft Suite applications, and be able to create documents, presentations, and spreadsheets.

Keyboarding is required for this position.
The incumbent of this position works in an air-conditioned, office environment. The incumbent will also be exposed to outdoor weather conditions when traveling on company business.
The noise level in the work environment is usually moderate.
TRAVEL: Although there is not regular, frequent travel associated with this position, there may be a need to travel for Agency meeting and events periodically.
