BASIC FUNCTION:
A key fund development role within the organization, The Development Officer contributes significantly to the growth and sustainability of MAC, Inc. This role is responsible for managing the writing and submission of grant applications and reports, leading the organization’s annual fundraising and donor recognition, and carrying out the administration of the donor database. The Development Officer works collaboratively across departments on grant activities while stewarding relationships with new and existing donors and provides support to the CEO on recognizing major gift donors. This role has significant responsibility for overseeing complex projects and is accountable for achieving specific funding goals laid out in the strategic plan.
RESPONSIBILITIES:
The following are the key duties and responsibilities of the Development Officer:
Grant Portfolio Management (50%):
- Writes and leads the development of proposals and reports, manages the submission and agreement processes.
- Works collaboratively across departments to compile the necessary information for applications and reports.
- Manages the grant proposal and reporting calendars, and tracks activities in fundraising database and hard-copying filing system.
- Researches funding prospects and keeps an eye on grant and funding trends.
- Works closely with Community Relations and the MAC, Inc. staff to ensure recognition requirements of grants are fulfilled on time.
Donor Relations Management (40%):
- Acts as the project lead on all annual giving appeals.
- Maintains detailed records of all donors (including major donors) contacts, history and moves management; ensures timely and personal appreciation and recognition is completed.
- Manages monthly giving program.
- Works to develop and enhance promotion and recognition tools aimed at individual donors (website, print pieces, email content, story/pic/video library, frames).
- Manages the donor recognition and stewardship program, including updating organization policies and procedures.
- Supports the CEO with recognition and stewardship for major gift donors.
- Directs, oversees, coaches and evaluates performance of the Community Relations and Development team.
Donor Database Administration (10%):
- Act as the organization’s Salesforce system administrator.
- Performs regular database maintenance, including system backups and duplicate management.
- Tracks and reports on data for fundraising and grants; assists in the creation of event revenue reports.
Other duties as assigned.
QUALIFICATIONS:
The following are the principal qualifications of this position:
Education:
- Bachelor’s Degree is required.
- Post-secondary education in related field is preferred.
Experience:
- Minimum three years of fundraising experience in a not-for-profit setting.
- Experience with individual giving, planned giving and/or monthly giving programs.
- Proven success with donor prospecting, relations, stewardship, and recognition.
- Experience managing a donor pipeline; familiarity with fundraising software and database(s).
- Experience managing complex projects with specific targets.
Skills:
- Solid understanding of basic fundraising principles.
- Superior verbal and written communication skills, and ability to confidently interact with individuals at all levels.
- Strong computer skills with proficiency in Word, Excel, Outlook.
- Efficient while maintaining a high level of accuracy and attention to detail.
- Organized, systematic and able to prioritize, schedule and perform complex tasks on time and with minimal supervision.
- Able to maintain confidentiality; demonstrate sound judgement and discretion.
- Ability to liaise with other departments to achieve a common goal.
