Job Overview:
Responsible for all administrative and clerical functions reporting to a Senior Director and above level executive. Perform other duties as assigned.
Essential Functions:
- Coordinate distribution of incoming/outgoing communications (emails, memos, letters, reports, newsletters and phone calls).
- Manages the calendar for leader using Outlook, screens and directs incoming phone calls.
- Provides Administrative and Clerical support for special projects, thinking through each step of the project and finding solutions.
- Manages internal and external meetings, tracks responses to meeting requests, prepares and distributes meeting materials, arranges all necessary technology including web and video conferencing, ensures coordinates ordering and delivery of catering.
- Demostrates good judgement, discretion and confidentiality of sensitive information.
- Schedules and organizes travel, department activities including coordinating meeting space and catering as needed.
- Reconciles travel and monthly expenses. Submits expense reports.
- Establishes, develops and maintains the filing system.
- Maintain office supplies and order as needed.
- Deliver personalized support with a variety of tasks related to the leaders working life.
- Provide Ad Hoc reporting/presentations and coordinate special projects as needed.
- Regular, dependable attendance and punctuality.
Qualifications and Competencies:
- High School Diploma or equivalent required
- 1-2 years related experience
- Ability to read and interpret instructional documents such as safety rules, operating and maintenance instructions, and procedural manuals
- Resourceful self-starter, works well independently as well as part of a team
- Must be proficient in the use of computers and handheld technology
- Ability to work a flexible schedule, including day, evening, weekends, and/or holidays
- Must be proficient in Excel, Word, Outlook and Powerpoint.
- Must have effective written and verbal communication skills.
- Basic math functions such as addition, subtraction, multiplication, and division.
- Accounting skills.
Physical Requirements:
- Position requires prolonged periods of standing/walking around store or department
- May involve reaching, crouching, kneeling, stooping, climbing ladders, depth perception and color vision
- Frequent use of computers and other technology necessary to perform job duties, including handheld electronic equipment.
- Lift/move up to 20lbs
Supply Chain Only and Colleagues Working in a Supply Chain Facility except in locations governed by a Collective Bargaining Agreement
Random drug testing for all colleagues will be conducted on a monthly or semi-monthly basis, depending upon factors including but not limited to the size of the facility and the number of colleagues on roll. Colleagues will be randomly selected for testing by a third party. Testing must be completed on the same workday the colleague is informed of selection for testing, absent extenuating circumstances. In all circumstances, testing must be completed within 24 hours of notification.
