Candidates must be legally authorized to work in the United States at the time of hire and maintain work authorization throughout the employment term. This is a full-time, non-exempt, 40 hours per week, 52 weeks per year position. General working hours will be Monday – Friday from 8:00 am – 4:30 pm. Some weekends may be required to cover Madison College events. Madison College offers a generous benefit program including health and dental benefits. The employee selected will serve a twelve (12) month introductory period. This position does not offer a relocation package. SUMMARY: As part of the Finance & Administration Services Support Team, this newly enhanced full-time position provides professional support to the various departments in Finance and Administration including the bookstore, budget office, dining and events services, early learning center, facility planning & construction management, print & mail services, public safety, and risk management under the direction of the Finance & Administration Services Support Team Manager. This role handles monthly reports, coordinates and supports meetings, purchases goods and services all with a high level of confidentiality and accuracy. Additionally, this position coordinates with the Senior Administrative Coordinator in Event Services to run Mitby Theater show closing financial reports and coordinates with Finance for vendor payout. This role also occasionally staffs the Box Office in the Mitby Theatre a few hours a weekend every few months, which includes greeting patrons and selling tickets. This position reports to the Manager, Finance and Administration Services Support Team. DUTIES/RESPONSIBILITIES: Completes, compiles and proof reads reports received from Finance and Administration units – Solicits, compiles and sends reports to Board Assistant for monthly District Board meetings; solicits, compiles and sends quarterly reports received from Finance and Administration units to President's Office; maintains and updates emergency building closure decision making and closure flowcharts. Provides Support – Provides support to staff in similar roles, including monitoring the team email inbox, completing hiring and onboarding tasks, planning, scheduling, and supporting meetings. Purchasing Responsibilities – Creates purchase orders and manages invoice processing, maintains and reconciles department p-card for purchases for various units throughout Finance and Administration. General Administrative Duties – Coordinates meetings/appointments (including Joint Review Boards) orders/maintains supplies, assists with documenting processes and procedures. Mitby Theater Events Closing Reporting – Coordinates with Senior Administrative Coordinator in Event Services to run Mitby Theater show closing financial reports and coordinates with Finance for vendor payout. Provides support for Financial Procedures – Provides support for daily cash reconciliation for dining services; provides backup support for daily cash reconciliation for the bookstore; provides support for monthly reconciliations/billings for dining and event services, mailroom, and printing services. Other duties as defined by department, college, or officials. KNOWLEDGE, SKILLS & ABILITIES: Skilled in communicating effectively and professionally, both orally and in writing. Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities. Proficient in usage of technological tools including laptops/computers, email, phones, internet, and experience with software systems such as Microsoft Office Suite, SharePoint and Arts People ticketing software. MINIMUM REQUIREMENTS: 1. One (1) year post-secondary education in business, education or related field. 2. One (1) year of related work experience directly related to the skills required for successfully performing this position.
