Property Manager

Madison Park Financial Corporation ("MPF"), a California corporation, is a real estate developer, investor, operator, and asset manager. MPF was formed in 1985 to create value through the development and management of the real estate. The company seeks value-added development opportunities, as well as existing income-producing assets. MPF is responsible for all development activity, in addition to leasing and on-going property management services for its projects.

In addition, MPF manages several investment funds including Madison Park Properties, LLC (“MPP”) formerly Madison Park REIT; Madison Park Gateway, LLC (“MPG”); Madison Park Holdings, LLC (“MPH”) as well as other independently-owned assets. All together, MPF and its related entities own and manage approximately $250 million in assets.

Position

The Property Manager should be actively involved in all functions that directly impact occupancy and the physical property as well as support the goal of maximizing Rental Income and maintaining the asset for the owners.

Key responsibilities include, but are not limited to:

Leasing and Marketing

  • Attend weekly staff meetings and report on the status of assigned properties.
  • Financial analysis of assigned portfolio including all CAM (Common Area Maintenance) activities, including a key role in the development, maintenance, and presentation of proforma financial models for these revenues.
  • Leasing and Marketing including the completion of Market Surveys every Monday and/or as requested.
  • Review daily calendar and determine what planning is required for the day in terms of tours, move-ins, move-outs, and vendor activity.
  • Answer telephone in a friendly manner. Visit with “walk-in” and telephone prospects in such a way that communicates interest in their needs and follows Fair Housing laws.
  • Schedule appointments for tours, utilizing Yardi to input traffic and recording all phone calls and walk-ins in Yardi.
  • Follow-up with prospective residents who do not submit an application.
  • Submit completed rental applications, notify applicants once they are approved and schedule the Lease signing and Move-in Inspection. Enter all documents into Yardi.
  • Review lease expiration dates and oversees the renewal process including; delivering notices, negotiation of renewals and setting appointments as necessary with the resident(s) to review and sign the new lease.
  • Review leasing activity along with occupancy and make recommendations for specials, promotions and/or advertising that may be needed to generate leasing activity and increase occupancy.

Physical Property/Maintenance Related

  • Review pending Yardi work orders and “Make Readies” and provide direction to maintenance staff as required so the work is completed.
  • Coordinate with Maintenance to order supplies as needed to complete Make Readies and routine work orders.
  • Walk and “sparkle” vacant units weekly and make sure they are in “rent ready” condition.
  • Complete “pre-inspections” for units that are on Notice to Vacate.
  • Schedule all turnover functions, and check completed work to make sure the work is completed in a satisfactory manner. Follow-up with maintenance and vendors as needed.
  • Utilize the system to check out the individual unit key(s) to vendors and have them sign the key log to the document they have keys.
  • Schedule and complete move-out inspections and related paperwork to determine any charges that need to be assessed to the vacating resident and process move-out paperwork.
  • Walk the property multiple times per week to ensure positive curb appeal. Check to make sure the grounds and common areas are free from trash and debris. Write service requests to complete work as identified.
  • Utilize janitorial company help when needed. Provide direction for the work to be completed and follow-up as needed.
  • Create Yardi Work Orders for maintenance repairs received from residents and/or others. Follow-up with a telephone call to the resident to make sure work was completed to their satisfaction.
  • Coordinate and schedule Preventive Maintenance – prepare a schedule, notify residents, assign to Maintenance staff utilizing service request and/or checklist system.
  • Coordinate pest control/termite treatments.
  • Solicit bids for landscaping, janitorial and turnover functions including interior painting, apartment, and carpet cleaning and utilize competitive vendors.
  • Solicit bids for any Capital Improvement projects.
  • Prepares routine vendor correspondence, maintenance agreements and contract documents
  • Obtain current Liability/Work Comp Insurance Certificates for each contractor and forward to accounting or upload into Yardi.

Office Operations

  • Provide direction and coordinate daily workflow for office and maintenance employees.
  • Collect and process monthly rent, post 3-day notices and follow up on related rent collection tasks.
  • Follow-up with residents by phone or personal visit regarding delinquent rent. Discuss with Supervisor residents who have not paid to proceed with the eviction process.
  • Deliver all resident notices and make sure all are delivered prior to the end of each day.
  • Review, approve and process invoices daily and submits to Area Manager/Accounting for timely payment processing.
  • Check voice mail and email throughout the day and respond as needed.
  • Complete Weekly Reports and other reports as required.
  • Review monthly financial statements and budget variances and complete Monthly Financial Reports.
  • Participate in the completion of the annual budget and the Budget Recap/Summary and the Year-end Property Report.
  • Prepare monthly staff schedules. Review Vacation and /or Absence Requests and similar personnel functions with Supervisor to ensure adequate staffing. Approve bi-weekly payroll and submit to Supervisor.
  • Plan and schedule training of employees including new employee training, cross-training and procedural training as identified.
  • Handle Resident and Property related issues as they arise and document utilizing Yardi Memo tab.
  • Assist in the management of teams by facilitating communication between key staff, maintenance, contractors, owners, investors, city officials and other parties as required.

Prerequisites

· Bachelor's Degree preferred with approximately two to five years of property management experience

· Knowledge of basic finance and accounting theories used in financial modeling.

· Great team player

· Good written communication skills including the ability to prepare accurate and appropriate documentation and to review, proofread, and check the documentation for accuracy.

· Experienced in Microsoft Office suite, especially Microsoft Excel.

· Must have flexible hours that may include weekends.

· Experience in working with YARDI property management software a plus.

In addition, the Property Manager must have the ability to multi-task; anticipate necessary actions in a fast-paced real estate environment; find orderly solutions within sometimes chaotic situations, and work as part of a team both within the company and with outside contractors and consultants.

Job Type: Full-time

Pay: $33.00 - $36.00 per hour
