Overview:
The Administrative Assistant will oversee the general administrative functions and activities of the office as well as provide support to the Vice Presidents of Maine.
Responsibilities:
·Oversees daily work activities of Magnolia Assisted Living and keeps the office running smoothly.
·Provides clerical support for the communities with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
·Oversees petty cash fund and keeps petty cash log.
·Manages receipts and creates weekly expense reports.
·Assists with communicating staff schedules.
· Monitors the front door and checks in visitors.
·Coordinates with other support departments such as human resources, payroll and upper management to ensure successful operations.
·Oversees mail including monetary payments in the office to include rent, insurance checks for physical therapy, and facilitates forwarding of proper documentation to accounting department.
·Maintain office files and implements an efficient system to access and record files and records.
·Maintains new admission records and referrals.
·Ensure all communities have basic supplies based on their monthly submitted needs.
·Collects and forwards invoices to A/P.
·Assists in planning and logistics of the orientation process.
·Maintain inventory of office supplies: orders new supplies as needed.
·Works with Administrators and other leaders to identify and address inefficiencies and opportunities for cost reduction.
·Performs other duties as assigned.
