Position Overview:
We are looking for an organized and detail-oriented Construction Administrative Assistant with at least 3 years of experience in the construction industry and 5 years of advanced Excel skills. The ideal candidate will possess a go-getter attitude and a strong willingness to learn, ensuring smooth operations within our office.
Key Responsibilities:
- Assist in the preparation of project documents, including proposals, contracts, and change orders.
- Maintain and organize project files, ensuring all documents are current and accessible.
- Coordinate communication between project managers, subcontractors, and suppliers.
- Schedule meetings and appointments, managing calendars for project teams.
- Track project timelines and budgets, providing regular updates to management.
- Process invoices and assist with accounts payable and receivable when needed.
- Utilize Excel for data analysis, report generation, and budget tracking.
- Provide general administrative support, including filing, data entry, and phone management.
- Assist with compliance documentation and safety records.
- Contribute to the overall efficiency of the office and identify areas for improvement.
- Managing and Creating Submittals
Qualifications:
- Minimum 3 years of experience in a construction administrative role.
- At least 5 years of advanced experience with Microsoft Excel.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
