Job Description
We are looking for an Accounting / Operations Assistant to join our team! You will be responsible for assisting in the following areas: Answering phone calls, Timekeeping, Shipping/Receiving, Purchasing, Order Processing, Safety, and assisting with other operational tasks. This is a very "hands-on" role. Self starter and problem solver! Small office/business environment. Job responsibilities include:
Timekeeping
- Receive and manage timecards/time sheets/Vacation or PTO requests.
- Enter employee's timecards and into system daily.
- Copies of field timesheets to job files.
- Give weekly report to Accounting for payment.
Order Processing
- Receive customer orders or new sales orders written/verbal.
- Request accounting open/assign job number.
- Create job folders and shop traveler/work packet. Hang the job packet on the job board.
- Create daily open jobs report and distribute.
- Once job is shipped/completed, ensure all documents are in job folder then send job folders to Accounting for invoicing.
Purchasing
- Receive Purchase Requisitions or verbal requests, then issue POs as requested.
- Tickets/POs to pending and copies job folders.
- If new vendor is needed, send request to Accounting.
Shipping/Receiving
- Assist with Customer packing lists/shipping documents. Make copies for job files.
- Manage all shipping and receiving documents along with the pending folders.
- Receive packing lists and match with corresponding purchase order.
- Make any notations if everything was not received.
- Enter receiver into the system.
- Forward purchase order, packing list and receiver to accounting for processing.
- Assist with any other tasks.
Safety
- Maintain safety manuals.
- Assist and coordinate safety training with HCSC, DISA, etc.
- Submit copies of training certifications and paperwork to Controller for employee files.
Other
- Assist field and shop operations.
- Other projects as assigned.
- Answer phones and direct calls to proper individuals.
Qualifications:
- 3 years experience in operations, preferably in manufacturing, oil and gas or construction
- Experience with JobBOSS preferred, Excel and Word
- Detail and deadline-oriented
- Strong analytical and problem-solving skills
