Job Summary
GateWay Community College is seeking a part-time (PT) Office Assistant for our Disability Resource Center. This position will support duties including, front desk reception, guiding students to the appropriate resources, responding to phone calls and emails, and event preparation.
The role of the DRS part-time (PT) Office Assistant is to manage the department’s daily operations and serve as the community facing team member to GateWay’s DRS Ddepartment. Their responsibilities include: assisting students with completing the online application and uploading documentation, processing student applications, maintaining office equipment, overseeing student staff, coordinating office events, ordering alternative text, scheduling interpretive and other services, scheduling appointments, and managing office supplies. They are the support person responsible for the day-to-day operations of the department and communicating with faculty, staff, and administrators.
To best serve the students, department, and college, this position requires a physical presence on campus.
Essential Functions
Assist DRS representatives with duties including and similar to:
- Process student applications and uploading documentation to student profiles (as needed).
- Create and execute projects, task lists, department functions, posters, and events.
- File, organize, review, and maintain confidential student records in the DRS database and the district-wide SIS database.
- Answer calls/greet students, staff, faculty and community members who may have direct, specific, subject-sensitive requests.
- Schedule appointment/meetings for DRS Student Services Specialist Senior and Director.
- Schedule interpretive services.
- Conduct student and part-time staff team meetings to ensure cohesion between team members.
- Order alternative text, linking note takers with students, scheduling interpreters and other services to support access needs of students registered with the DRS Department.
- Working side-by-side with DRS team members to resolve issues as needed.
- Maintain a working knowledge of the rights and responsibilities of students with disabilities under the Rehabilitation Act of 1973, the ADA of 1990, and the ADAAA of 2008.
- Maintain a working knowledge of current District Documentation Guidelines, Grading, Domestic Animal, and other policies and processes.
Maintain computer records of all DRS interactions by:
- Record, review, and sort notes from DRS team members/management.
- Work with spreadsheets and data input for End of Year reports and similar.
- Maintain the DRS GateWay Community College website.
- Plan and provide information regarding the activities, functions, equipment, services, promotional materials, and expectations associated with DRS.
- Record and monitor due dates for department equipment/property rentals.
Provide Support Services for Students with Disabilities which may include:
- Research and coordinate the purchase of DRS equipment, vendors, software, or resources.
- Receive student complaints and appropriately filing reports as needed.
- Maintain the semester work order list which includes items such as: brailed materials, PDF format textbooks, note taking assignments, cart systems, closed captioning, and more.
Minimum Qualifications
High School Diploma or GED
Desired Qualifications
- Associates Degree or higher is preferred
- Experience working with disability services, confidential information, students, or similar.
- Experience with office coordination, administrative assistance, clerical work, or similar.
- Ability to research student information, take objective notes, and establish cooperative working relationships with team members
- Experience working in an institution of higher education/post secondary school.
- Experience working within a community college environment.
- Basic experience with Maricopa tools (SIS, HCM, Early Alert Platform, etc.) and DRS Connect or similarly related systems is preferred
- Knowledge of all Microsoft Office products and the Google Platform is preferred
- Basic experience with team dynamics, group management, or public speaking.
- Ability to work independently & effectively in an environment with frequent interruptions.
- Bilingual in English & Spanish is preferred

- May be required to sit for a prolonged period of time; viewing a computer monitor
- May be required to lift or carry up to 25 lbs.
