Job Description

The Procurement Administrator is responsible for supporting the procurement team in the acquisition of material goods and supplies. This role ensures the seamless execution of procurement processes, including the review and of purchase agreements, purchase orders, and vendor management. The Procurement Administrator will work closely with the procurement team to ensure compliance with company policies and procedures, maintain accurate records, and monitor vendor performance. An experienced Procurement Administrator is pivotal in minimizing risk and fostering strong vendor relationships through diligent procurement oversight and review.

Duties and Responsibilities

For all MGE Entities:

  • Support and collaborate with the procurement department to acquire goods, involving tasks such as managing purchase agreements, purchase orders, reviewing prices, and coordinating budget adjustments with the Field Operations team.
  • Create Purchase Orders based on budgets provided by the estimating team.
  • For all entities, review and cross reference procurement data for invoice approval and accuracy (including PO numbers, phase codes, job numbers, and pricing).
  • Cross Check Invoices for Delivery and Receiving. Ensure that invoices correspond with delivery records and confirm the quantities received match the invoiced quantities, addressing any discrepancies promptly.
  • Document and update procurement data information to track receiving information.
  • Address pricing or quantity discrepancies with vendors before approving invoices.
  • Organize and manage vendor emails to ensure accurate tracking of delivery updates, confirmations, receipts, and issues.
  • Generate additional purchase orders as needed, following approvals from the Procurement Manager.
  • Revise existing purchase orders based on approved changes.
  • Ensure compliance with company policies and procedures.
  • Track and oversee small tool purchases, verifying the purchases against internal approval logs for pricing and quantities.
  • Works to minimize risk and broaden supplier base ensuring a diverse provider network, flexibility, and a competitive advantage.

Qualifications

  • A bachelor’s degree is preferred in business administration, supply chain management, or finance.
  • Minimum of 3 years’ experience in procurement or supply chain management.
  • Possesses the ability to communicate and organize, essential for coordinating with suppliers and internal departments.
  • Proficient in reviewing contracts, invoices, and purchase orders.
  • Possesses the ability to meticulously identify errors and discrepancies within the procurement process.
  • Expertise in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, and One Note) for efficient communication documentation, and data management.
  • Proficient in creating comprehensive reports and visualizations to present product tracking, scheduling, and other analytics.
  • Proven capability to work under pressure and meet time sensitive deadlines, while handling multiple projects and managing competing priorities with precision and efficiency.

Job Type: Full-time

Pay: $60,000.00 - $75,000.00 per year
