POSITION DESCRIPTION

ALTERNATIVE EDUCATION SECRETARY

(MESPA II Class D Position)

REPORTS TO: Principal, Lead Teacher

RATIONALE: The smooth and efficient operation of the office. To relieve the Principal/Lead Teacher of various administrative details, coordinate and maintain established office procedures, establish and maintain harmonious working relationships with superiors and co-workers, present a positive image to staff, students, and visitors, keeping their needs in mind and public relations at a high level.

QUALIFICATIONS:

1. High school graduate (or equivalent), post secondary training preferred.

2. Minimum of two years experience as secretary. School secretary experience preferred.

3. Proficiency in typing (60 words per minute) and other clerical skills.

4. Advanced computer and word-processing skills. Must have the ability to utilize the district management information system and other programs as needed.

5. Working knowledge of basic office procedures and the operation of common office equipment and machines.

6. Good command of the English language (usage, grammar and vocabulary) in both written and oral communication.

7. Ability to utilize effective human relations and communication skills.

8. Ability to interact positively with students, staff and the public.

9. Ability to maintain a high level of ethical behavior and confidentiality.

10. Working knowledge of basic bookkeeping/record keeping procedures.

11. Organizational skills (ability to handle multiple tasks in a prioritized and professional manner).

12. Must meet health requirements as required by performance responsibilities.

13. Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.

PERFORMANCE RESPONSIBILITIES:

1. Performs the usual office routines and practices associated with a busy, productive and smoothly-run office.

2. Manages office affairs (as delegated by Principal/Lead Teacher); coordinates departmental work load.

3. Performs following clerical duties: Takes dictation; types memorandums, letters, teacher evaluations, reports and miscellaneous documents; photocopies and duplicates; prepares various reports as directed; operates test score machine (at schools where applicable); files correspondence, invoices, cards, and other records in prescribed manner, depending upon the practice of the department to which assigned.

4. Schedules appointments and maintains calendar for Principal and other staff as directed. Receives and assists visitors and telephone callers and refers them to appropriate person. Arranges business itineraries and coordinates Principal's travel requirements (as directed).

5. Greets all visitors courteously, determines their needs, checks appointments and directs or escorts them to proper person.

6. Operates office computer (at schools where applicable), using word processing, data base, spread sheet, and other programs.

7. Receives and routes incoming calls and takes phone messages.

8. Operates and makes announcements using public address system and approves announcements for and prepares bulletin (at schools where applicable).

9. Sorts, opens, reads and annotates incoming mail (as directed) and documents and attaches appropriate file to facilitate necessary action; determines routing, signatures required, and maintains follow-up.

10. Composes correspondence and reports for own or Principal's signature. Prepares communications outlined by Principal in oral or written directions.

11. Takes action as authorized by Principal/Lead Teacher during his/her absence, and uses initiative and judgment to ensure that matters requiring attention are referred to the proper authority.

12. Assists teachers in preparing instructional materials and performs clerical duties for them as directed by Principal.

13. Makes arrangements for and coordinates conferences and meetings.

14. Serves as recorder of meeting minutes with responsibility for transcription and distribution to participants.

15. Register new students and makes arrangements for kindergarten screening and registration.

16. Prepares purchase orders and performs follow-up, working with Bookkeeping Office—orders supplies, textbooks, teaching supplies and other materials. Maintains inventory of and distributes supplies

17. Prepares financial reports for lunch program.

18. Provides limited care for sick and injured students.

19. Maintains records of staff absences and notifies the Bookkeeping Office.

20. Maintains accounts/handles money for various activities and programs.

21. Phones substitute teachers as directed by Principal/Lead Teacher.

22. Handles communication and follow-up.

23. Performs other duties as assigned.

Pay: $13.68 - $15.51 per hour
