JOB SUMMARY:

Under the supervision of the ECE Program Support Manager (PSM), the Program Support Specialist (PSS) is responsible for providing administrative support, contributing to the overall administrative success of the Early Education Centers (EECs). The PSS works in collaboration with the PSM, Vice President of ECE (VP), ECE Directors, and Eligibility Specialist team to collect data in a manner that is well organized and timely. The PSS is responsible for maintaining confidentiality and is required to have a high level of attention to detail, and ability to interact positively.

RESPONSIBILITIES:

  • Follow the Trauma Informed Care philosophy when supporting and addressing the needs of the children and families Maryvale serves.
  • Utilize Trauma Informed Care approach in recognizing the presence of trauma symptoms and acknowledge the role that trauma has played in the lives of the clients/residents.
  • Assist in the healing process by developing appropriate RICH® (Respect, Information, Connection and Hope) relationships with those served.
  • Follow Universal Precautions when exposed to blood and body fluids and follow Occupational Safety Health Administration (OSHA) regulations pertaining to safety and the use of equipment/machinery.

ESSENTIAL JOB DUTIES:

  • Provide day-to-day administrative support for the ECE programs including but not limited to: office management, coordination of calendars, filing, scanning/copying, mail, and other correspondence.
  • Maintain and update logs/tracking pertaining to: PQI, RPM, CCL, COA, State Contracts (CCTR/CSPP, Food Program) and Enrollment. This includes daily/weekly/quarterly updates and reports.
  • Process data and ask questions if there are inconsistencies in data being shared.
  • Prepare an annual rate survey and submit findings by April 1st annually in preparation of rate increases.
  • Create and share calendar reminders to responsible parties to ensure that required tasks are completed on time to ensure timely creation of reports.
  • Process Check Requests, Reimbursements, Credit Card Reports, Petty Cash, FSMC billing and Order Requests for the Administrative Team.
  • Responsible for Purchasing for ECE, including but not limited to: obtaining orders, receiving approvals, placing orders, following up to ensure items are received and then preparing the documentation as required for finance.
  • Demonstrate a mastery of Microsoft Office for use in effective communication, and preparation of various reports and presentations utilizing Outlook, Teams, Excel, Word, PowerPoint etc. based on information provided by the Admin teams or VP.
  • Collaborate with the administrative teams to support agency wide and ECE events/activities/committees. This includes but is not limited to: placing facilities and IT tickets, ordering food, planning and organizing set up and tear down, and ensuring that meeting materials are prepared.
  • Take accurate notes during meetings as assigned and distribute organized minutes in a timely manner following meeting completion.
  • Create and maintain a personal time management and tracking system to ensure that internal and external deadlines are met.
  • Multi-task and prioritize effectively, supporting various projects simultaneously and effectively with minimal follow up. Update the PSM and VP with minimal reminders on the status of reports and projects.
  • Respond to emails and requests for information within 24 hours.
  • Mandated reporter: Communicate with ECE Administration immediately regarding safety or program concerns.
  • In emergencies, including low staffing, step in to the ECE classroom to provide care and supervision, under the guidance of an Associate or Fully Qualified teacher.
  • Participate in training to develop administrative skills.
  • Communicate with families and Associates in a clear, concise manner, consistent with the Maryvale Communication Policy.
  • Other duties as assigned.

QUALIFICATIONS:

  • High School Diploma
  • Minimum of 3 years administrative support experience, preferably in ECE.
  • Proficient in MS Word, Excel, Outlook, and PowerPoint.
  • Customer service focused with excellent people skills including verbal and written communication skills.
  • Strong analytical skills; resourceful, reliable, multitask oriented; strong administrational skills; able to adhere to strict deadlines.
  • Able to adapt to changing priorities and to re-prioritize on short notice when needed.
  • Able to handle confidential information and act accordingly.
  • Strong computer literacy including proficiency in Microsoft Office applications as well as the ability to adapt quickly to industry-specific software. Must be able to comprehend and communicate program and compliance related concerns to Program Support Manager, EEC Directors and VP of ECE.
  • Current CPR/First Aid certificate, background clearance, TB test, required immunizations and fingerprint clearance are required for the position.
  • This role requires participation in formal and informal instruction related to ECE policy and procedure, Title 22 and Title 5 regulations, pertinent Maryvale ECE required trainings, Child Development Division or Office of Education trainings, and may require periodic travel to attend conferences or trainings relevant to role.

  • The Associate must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Associate may occasionally be required to drive a motor vehicle.

Medical, Dental & Vision Insurance - Premiums for Associates are covered 100% by the agency. Maryvale offers HMO medical, DHMO dental and a vision plan for full-time Associates. Maryvale pays for 50% of dependent coverage if Associates wish to add dependents to the insurance plans. PPO medical and dental plans are available upon request for additional cost.

Holiday Pay - Maryvale recognizes 10 full-day paid holidays, and 1 Holiday of Choice each calendar year (Regular part-time employees receive pro-rated time).

Vacation - Maryvale recognizes the value of rest and relaxation and encourages Associates to take time off with their families. Regular full-time Associates accrue paid vacation leave according to the following schedule:

  • 1 to 3 years of service - 10 working days per year
  • 4 to 7 years of service - 15 working days per year
  • 8 years or more of service - 20 working days per year

Sick Time - Associates accrue sick time at 1 hour for each 28.9 hours of work.

Life Insurance - Maryvale pays for a basic Life & Accidental Death & Dismemberment (AD&D) Insurance Policy that pays beneficiaries a flat $25,000 death benefit.

401(k) Pension Plan - Associates are eligible to enroll in the 401(k) Retirement Plan on the first day of the month after their hire date.

  • Match of Employee Contributions: After completing one year of service, Maryvale will match 100% of an Associate’s salary deferral up to a maximum of the first 3% (1%-3%). In addition, Maryvale will match 66% of an Associate’s salary deferral up to a maximum of the next 3% (3%-6%).
  • Non-Elective Contribution: After an Associate completes one full year of service, Maryvale on the Associate’s behalf, will begin making a fixed non-elective contribution equal to 3% of the Associate’s income. This contribution is separate from the matching contribution and vests over a 5 year period.

Long Term Disability Insurance - Maryvale offers Long Term Disability Insurance to all benefits-eligible Associates at no cost to the Associate. Maryvale pays the full premium for these benefits which provide salary protection in the event an Associate becomes disabled for an extended period of time.
