About the Executive Assistant

Masa is looking for a PT (25 hrs/week) Executive Assistant to support our Executive Director with daily operations, relationship management, and communications. This role is key to ensuring the Executive Director can focus on the strategic goals of the organization. The Executive Assistant must understand the responsibilities, needs and priorities of the ED and maintain a high level of confidentiality. A successful candidate will be responsive but also proactive and able to work calmly and intentionally under pressure. This person is also adept at prioritizing conflicting needs, handling matters expeditiously, and following through on projects to successful completion.

DUTIES AND RESPONSIBILITIES

Administrative Support - Manage scheduling, travel planning, expenses, meeting logistics and materials (including monthly staff meetings), and correspondence for the ED. Plan logistics for guest visits. Work closely with the ED to keep her informed of upcoming commitments and responsibilities, following up appropriately.

Communications Support – Respond to requests via email and phone; draft correspondence to funders, staff, partners, and others. Interface with a variety of key stakeholders, including Board Members, government officials, and donors.

Board of Directors - Support the Executive Director in building strong working relationships with our board of directors. Manage administrative functions for Board of Directors meetings. Work with board members to schedule and prepare for meetings.

Document Preparation - Produce effective and clear reports and presentations for the ED.

Special Initiatives/Events – Work with staff on projects and events. Coordinate special initiatives and projects, from research to implementation

REQUIREMENTS

· Experience as an administrative assistant for senior management, ideally in a nonprofit environment

· Bachelor’s Degree

· Proficiency in Microsoft Office (Word, Excel, and PowerPoint) and Google Suite

· Aptitude for maintaining and creating systems, as well as strong organization and reporting abilities

· Ability to thrive in a fast-paced environment that is mission-driven and community-oriented

· Passion for Masa’s mission to support immigrant communities in NYC

· Strong technology skills and general computer literacy; Salesforce experience a plus

· Excellent verbal and written communication skills; experience drafting written correspondence at the executive level - must be comfortable on telephone and email communications

· Outstanding organizational skills and attention to detail

· Ability to troubleshoot and implement systems that support an efficient working environment

· High energy and enthusiasm for the position; willingness to roll up your sleeves to do what it takes to get the job done

  • Bilingual English/Spanish preferred but not required

Physical demands:

· This role is primarily in-person at Masa’s office

· Light to moderate carrying of program materials is required

· COVID-19 vaccination is required

Job Type: Part-time

Pay: $25.00 per hour
