The MTA is seeking a Communications Staff Assistant in the Communications Division who assists in the efficient and effective implementation of all Communications Division programs and projects, interacts directly with members and the public, maintains familiarity with and adheres to Governance policies, prepares material for publication and dissemination, proofreads, and provides administrative and clerical assistance to the staff and MTA committees. This position is conveniently located in Quincy, MA.


Essential Job Functions:

  • Assists in the delivery of all division services in collaboration with the manager and all other division staff.
  • Answers division phones, promptly screens and routes inquiries, and follow-up.
  • Maintains familiarity with organizational programs, policies, priorities, and activities.
  • Assists with bookkeeping, filing, financial record-keeping, clerical responsibilities, and payment processing.
  • Serves as staff assistant to committees and attends meetings and conferences as assigned.
  • Works with desktop publishing programs and databases as needed to assist with production responsibilities, including publication and dissemination of the digital edition of MTA Today.
  • Computes postage requirements, makes timely deposits, stays current, and produces compliance materials required by the U.S. Postal Service.
  • Monitors and administers vendor subscriptions to ensure continuity and efficiency.
  • Coordinates support requirements with other staff members and other divisions.
  • Maintains calendar of events, schedules, and appointments.
  • Generates and maintains orderly files and filing systems.
  • Prepares correspondence and reports.
  • Assists with administration of website login database system.
  • Takes frontline responsibility for handling and forwarding “Contact Us” messages, in coordination with the division manager and other staff.
  • Assists with budget preparation and tracking.
  • Balances multiple functions and complies with deadlines.
  • Exercises discretion and maintains appropriate confidentiality.
  • Works well as part of a team.

Qualifications:

  • High school diploma (college background preferred).
  • Training in, or the ability to learn, desktop publishing software (including InDesign and Adobe Acrobat).
  • Ability to use Microsoft Office programs (including Word, Excel and PowerPoint).
  • Four or more years of related experience preferred.
  • Experience in computerized record-keeping.
  • Ability to use email systems and manage lists.
  • Thorough knowledge of grammar and punctuation.
  • Extensive familiarity with the internet and ability to do basic research.
  • Demonstrated proofreading skill.
  • Excellent verbal, written, and interpersonal communication skills.
  • Demonstrated ability to handle multiple responsibilities and coordinate a variety of resources and activities on short timelines.
  • Demonstrated organizational and administrative ability.
  • Demonstrated initiative and problem-solving ability.
  • Excellent word-processing skills.
