We are looking to hire a Grant Accounting Coordinator to provide support for Mass Tech’s grant programs. This is an exciting opportunity to work in conjunction with Finance and Project personnel to support and help drive grant funded projects to completion. You will be engaged with aspects of finance, operations, and project administration including solicitation development, proposal review, contract management, budget monitoring, and invoice review, project evaluation. You will have exposure to diverse industries, including broadband, cybersecurity, advanced manufacturing and other innovation-based economic development program areas. MassTech currently operates on a hybrid work schedule and following successful on-site training, you’ll be working from home up to 3 days per week.

SUMMARY OF THE POSITION:

The Grant Accounting Coordinator’s primary responsibility is to assist program teams to ensure that grantees and outside consultants meet their contractual obligations with MassTech. These obligations include adhering to project schedules, producing deliverables in a timely manner, utilizing funds in accordance with project budgets, invoicing within the parameters of the contract, and complying with other contract-specific requirements including federal requirements, as applicable. The Grant Accounting Coordinator shall assist division staff with solicitation and procurement planning and administration, project and grant administration, federal compliance tracking, and contract management system (“Icertis”) data entry. The Grants Coordinator shall be successful in these responsibilities by being familiar with MassTech programs, procurement and financial assistance policies and federal compliance requirements. The Grants Coordinator shall monitor reports, update trackers and follow up with grantees and vendors, as needed. The Grants Coordinator identifies issues as or before they arise and resolves them by working collaboratively with MassTech managers and grantee/consultants, as well as other parts of the organization as needed, including Finance, Legal, and senior management.

RESPONSIBILITIES

  • Understand MassTech policies, procedures and internal controls associated with procurements, solicitations, grant awards, federal grants, state appropriations and bond funds, and general operations.
  • Enter, review and maintain contract and project related information in Icertis contract management system, assist project teams to monitor their contracts and awards, ensure compliance with contractual obligations, and track project outcomes;
  • Receive, enter, and process vendor and grantee invoices and deliverables into Icertis, review supporting information for compliance with contract and budget, identify and discuss potential issue with the Project Managers and/or Controller and work directly with the grantees, where appropriate, to ensure prompt resolution;
  • Participate in the procurement planning and contract development processes to fully understand programs and project priorities, requirements and intended outcomes;
  • Organize and maintain Icertis contract files and documents to ensure completeness and compliance with contractual and audit requirements;
  • Proactively identify and suggest changes to existing policies and procedures to streamline internal processes and increase operating efficiency;
  • Assist division and program staff with other program and project administration tasks as requested or assigned.
  • Perform administrative duties such as copying, filing, scheduling, and document distribution as part of the project administration duties;
  • Perform additional tasks as assigned from time to time by the Controller.

Requirements

1. Education

  • Associates’ Degree from an accredited college or university in business administration, public administration, or related field.

2. Experience

  • One to three years of work experience involving grant and/or project administration or business operation support

3. Knowledge, Skills and Abilities

  • Experience in grants administration and/or public procurement process
  • Experience using Microsoft Office (Excel, Word, Outlook, Powerpoint)
  • Ability to produce letters, reports, and other communications
  • Excellent project coordination and organization skills
  • Detail oriented and solid critical thinking with ability to problem solve
  • Ability to read and understand contracts, policies, rules, and extract the information needed to ensure compliance
  • Demonstrated ability to get up to speed quickly and manage multiple priorities effectively
  • Demonstrated ability to work collaboratively in a team environment involving co-workers, funders, grantees, and other stakeholders
  • Demonstrated ability to work with spreadsheets and databases to track and manage project information
  • Working knowledge of basic accounting and payment processing (budgets, invoices, etc.) preferred
