May Homes is seeking a polished and experienced Executive Assistant to assist the CEO. The Executive Assistant will provide professional support with a “can do” attitude. The Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The ideal individual will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant will work in close liaison with Company Lenders, Clients, Vendors, Subcontractors, Agents, Secretarial and Construction Crew Staff.
May Homes is a Home Builder serving Houston and Dallas, TX. We are looking to add a strong team member to our operations team that will work side by side with ownership on a variety of tasks. At May Homes the Executive Assistant will receive proper training and see large advancement opportunities as this person will play a vital role in growing our operations.
Executive Assistant Responsibilities:
- Preparing Scopes of Work and Construction Takeoffs.
- Preparing, reviewing and filing supplier and vendor contracts.
- Coordinating social media, marketing materials and events.
- Answering phone calls and routing calls to the correct person or taking messages.
- Filing and retrieving daily work logs, progress pictures, invoices, estimates, etc.
- Constantly work with Vendors, Crew Supervisors, Schedulers, Estimators, Agents and Sale Consultants.
- Constantly work directly with our Estimator for construction project budgeting and the preparation of Scopes of Work, Invoices and Construction Takeoffs.
- Obtaining bids and purchasing.
- Daily Client follow ups and communication.
- Assist our Bookeeper with basic bookkeeping and accounting tasks.
- Providing general administrative support.
Executive Administrative Assistant Requirements:
- Bachelors's Degree or High School Diploma w/ equivalent work experience.
- Desire to learn and growth with the company. This position may be eligible for performance based bonuses and advancement opportunities.
- Proven experience as an executive assistant or other relevant administrative support experience.
- In-depth understanding of entire MS Office Suite.
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communications skills.
Essential Duties and Responsibilities
- Completes a broad variety of professional administrative tasks for the CEO including, handle overlapping duties at once moving at a fast pace.
- Forwards accurate and detailed messages, facilitates conference calls and, as appropriate, disseminates general information to callers.
- Makes arrangements for special and routine meetings.
- Plans, coordinates and ensures the CEO’s schedule is followed and respected. Acts as a gatekeeper for access to CEO.
- Ability to be flexible, change courses, and adapt at any moment to the needs of the CEO.
- Be able to maintain absolute confidentiality and consistently exercise discretion and judgment.
- Provides a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with staff.
- Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Experience
- 2 years of experience in a personal or executive assistant role.
- Demonstrated success juggling multiple projects and meeting strict deadlines.
- Experience coordinating business and personal calendars.
- Active listening and good communication skills.
