Project Coordinator - Administrative Services

Position Purpose
Our stellar Administrative Team is seeking an experienced and energetic individual who continuously aims to help their immediate assigned teams. Project Coordinators are the extensions of the Project Management Teams that they are assigned to. They are the buffer between a Project Manager and clients and are also the buffer between a Project Manager and municipality contacts. They help ensure that their teams are running smoothly and help to swiftly identify inefficiencies.
Essential Functions Responsibilities

Establish and maintain positive relationships with internal and external clients

Assist in project research including, but not limited to, submittal fee calculations, due diligence research and non-technical site data

Coordinate, schedule and maintain meetings related to assigned project team(s) including internal meetings, client and municipality meetings

Draft proposals and change orders on behalf of project managers and assistant project managers. Finalize proposals, fee schedules and change orders in collaboration with Administrative Assistants

Assist/coordinate project schedules including team resources and service group resources

Coordinate with Administrative Assistants for submittal preparation and courier needs related to assigned project team(s)

Demonstrate a thorough understanding of local municipality permitting processes

Establish and maintain relationships with municipal contacts to assist with permit expediting of projects

Finalize, proofread, and edit outgoing documents for quality assurance and adherence to McAdams brand standards/administrative standards

Coordinate with Project Analysts and/or Accounting for accounting software entry needs and reporting needs related to assigned team(s)

Collaborate with administrative services personnel to ensure work quality and consistency

Participate in the mentoring and training of Administrative Assistants and Project Coordinators. Contribute to the creation of training materials
Qualifications

Bachelors degree OR 4 years relevant administrative work experience

Previous experience in a professional office setting

Advanced knowledge and experience with MS Office suite including Outlook, Word, Excel and PowerPoint

Understanding of A/E/C project cost accounting

Outstanding organizational and oral and written communication skills

Extremely detail-oriented with strong writing, editing, and proofreading skills

Proactive thinker with the ability to prioritize multiple competing deadlines
-
Comfort with a fast-paced environment, necessitating professional, calm and poised prioritization

Previous A/E/C firm experience
