Job Description
McDonald’s is looking for an Administrative Coordinator to support functional departments! This is an excellent opportunity to build upon your professional experience in a collaborative environment. You will be an important team member and will perform a broad range of administrative functions to support the functional departments. You must possess strong interpersonal and communication skills and a consistent record of getting results.
In this role, you will provide administrative and project management support for the respective McDonald’s Dallas Field Office to include its functional leadership (e.g. Operations, McDonald’s HQ (MHQ)/Global Teams)
Under the direction of the Field Administrative Manager, you will support the field office People and Training teams, and develop expertise in all field office procedures, technology/IT programs and all applicable McDonald’s technical tools/programs used in the field.
As the Administrative Coordinator, you will manage busy and complex meeting and travel calendar, support the planning and coordination of on/off site field office meetings/events while prioritizing field office/departmental needs regarding meetings, time frames and deadlines.
The Administrative Coordinator will develop and maintain internal systems for calendar, project, and deadline management while working cross functionally between departments, McDonald’s Franchisee organizations/networks, McDonald’s Headquarters, and all other key partners.
Functional Department Support
• Perform special projects for the functional leader or functional area, which may include coordinating and organizing various activities with a variety of personnel and assuming responsibility for completion, tracking, daily decisions and follow-up.
• Supports and partners closely with multiple field office team lead on handling various ad hoc projects for their assigned department.
• Act as gatekeeper for field office and functional departments to resolve importance of internal/external customer needs/request, field office staff and incoming correspondence.
• Manage schedules, meetings and activities based on the functional leaders’ department priorities and activities which may change frequently.
• Assist with drafting broad communications, developing presentation materials. You will maintain SharePoint/file storage content, coordination of meetings and secure and set up meeting rooms to include web conferences (WebEx, etc.) for departments.
• Compile, generate and run reports designed to provide analytical support to the respective department as needed by the functional lead.
• Troubleshoot and resolve complex situations based on significant knowledge of the business unit and management's priorities.
Qualifications
Requirements:
• Demonstrate excellent PC skills including software packages (Microsoft Word, Excel, PowerPoint, Outlook, etc.)
• Strong attention to detail and ability to keep several complex schedules aligned and organized
• Strong sense of urgency and problem solving skills
• Extraordinary customer service skills, over the phone and in person, with our external and internal departments
• Excellent time/project management expertise
