TAX ADMINISTRATIVE ASSISTANT JOB DESCRIPTION
Perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Main Job Tasks and Responsibilities:
· Prepare invoices for the firm and work collaboratively with the billing team in an efficient and timely manner.
· Send invoices and statements to clients monthly electronically or by mail.
· Assist with monthly reconciliation projects.
· Assist the office manager with Accounts Payable projects.
· Perform weekly collection calls and attend weekly collection meetings.
· Assist with Special Tax Department related projects and reports such as utilization reports, scheduling, and integration projects with other Departments.
· Assist with the creation of Engagement binders for client work.
· Track daily deposits for the firm.
· Process individual and business returns in a timely manner and contact the client for pick up.
· Prepare agendas for meetings and prepare schedules.
· Record, compile, transcribe, and distribute minutes of meetings.
· Maintain office supply inventories.
· Coordinate and maintain records for staff, telephones, parking, and petty cash.
· Answer, screen and transfer inbound phone calls.
· Receive and direct visitors and clients.
· Resolve administrative problems and inquiries.
· Schedule and coordinate meetings and appointments.
· Perform general clerical duties including photocopying, fax, filing, and mailing.
· Handle requests for information and data.
· Prepare written responses to routine inquiries.
· Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
· Work collaboratively with other administrators to ensure efficient departmental operations. Provide coverage for administrative colleagues.
Education and Experience:
Computer skills and knowledge of relevant software.
Knowledge of operation of standard office equipment.
Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
Knowledge of principles and practices of basic office management.
Preference will be given to candidates with prior experience in an accounting firm.
