The Program Coordinator, within the Division of Alcohol, Drugs, and Addiction, plays a pivotal role in facilitating the planning, organization, and execution of various clinical education and research projects within the Division of Alcohol, Drugs, and Addiction, including the Addiction Psychiatry Fellowship training program - a component of the MGH-McLean Psychiatry training program - and providing support to the research activities within the Division. The program coordinator will have an important role within the Addiction Psychiatry Fellowship training program. The Mass General Brigham Addiction Psychiatry Fellowship, an Accredation Council for Graduate Medical Education (ACGME)-accredited Fellowship Program, trains fellows to pursue the field of addiction psychiatry. This position involves close collaboration with Addiction Psychiatry Fellows, Addiction Psychiatry Fellowship faculty, other healthcare professionals, and Fellowship administrative staff, including the Fellowship Program Director and Associate Program Director, to ensure the efficient management of assigned projects and routine tasks from inception to completion. The Program Coordinator provides essential administrative support, coordinates resources, and maintains communication channels to ensure the success of the Addiction Psychiatry Fellowship as well as the operational efficiency of the research activities within the Division of Alcohol, Drugs, and Addiction.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
* Coordinates the day-to-day aspects of the Addiction Psychiatry Fellowship Program and provides support for the research activities within the Division.
* Facilitate and Coordinates all aspects of assigned program/projects from initiation to completion.
* Maintain an integrated/coordinated Project plan including program/project implementation activities, operational activities, and plans, etc.
* Develop timelines and milestones, ensuring adherence to deadlines during each Fellowship Academic Year (July 1st - June 30th).
* Maintain accurate program records, including budgets, timelines, and documentation.
* Coordinate meetings and prepares meeting minutes, conferences, and training sessions relevant to assigned projects.
* Assists with the review of applications and applicant materials for candidates to the Addiction Psychiatry Fellowship program and coordinates the scheduling of applicant interviews with Fellowship faculty.
* Responsible for coordinating the onboarding of new Addiction Psychiatry Fellows.
* Prepare and disseminate program-related materials, reports, and presentations as required.
* Serve as the primary point of contact for inquiries related to assigned program.
* Facilitate communication among team members, stakeholders, and external partners.
* Ensure effective and timely dissemination of information to relevant parties.
* Collect, organize, and securely manage data in compliance with privacy regulations.
* Ensure data integrity and accuracy, implementing appropriate data management protocols.
* Generate reports and analyze data to support decision-making and evaluation.
* Assist in coordinating and monitoring budgets, tracking expenses, and resource allocations.
* Coordinate financial transactions and procurement activities as assigned.
* Ensure adherence to budgetary constraints and financial guidelines.
* Ensure adherence to ethical standards, regulatory requirements, and institutional policies.
* Assist in the preparation of documentation for ethics reviews and regulatory submissions.
* Stay abreast of relevant regulations and Accreditation Council for Graduate Medical Education (ACGME) Fellowship program guidelines to ensure compliance.

* Attends Mass General Brigham (MGB) - wide meetings for program coordinators supporting ACGME Fellowship programs
* With attention to detail, coordinates completion of essential, hospital-required administrative projects in support of the research activities within the Division, including but not limited to cordinating the completion of the annual portable device inventory and encryption check, offboarding research staff, ordering supplies and study materials, and preparing and submitting research expense reports.
* Other duties as assigned
