What are the responsibilities and job description for the Program Manager, SVP, Chief Scientific Officer position at MD Anderson?
The primary purpose of the Program Manager, CSO, is to plan, coordinate, and implement key administrative functions that support the day-to-day activities of the Senior Vice President (SVP), Chief Scientific Officer (CSO). This includes overseeing projects aimed at enhancing the efficiency and effectiveness of the SVP, CSO. This position will work independently and under the guidance of the SVP, CSO and Director of the Office of the CSO. This position requires:

- Ability to analyze business situations/challenges, recognize and define issues, design and propose solutions, and effectively influence and implement process improvements
- Proficiency with calendar management (managing a calendar with delegate access) and scheduling
- Ability to maintain confidentiality
KEY FUNCTIONS
Project Management (60 %)
- Leads the development and implementation of plans needed to carry out projects and activities for the SVP, CSO (e.g., recruitments, awards, events). Recommends and supports continuous improvement activities.
- Creates tools and templates to support project management and reporting to various stakeholders. Clearly communicates constraints, conflicts, requirements, and other items that could affect outcomes.
- Collaborates with other executive offices, divisions, and departments to manage challenges and mitigate barriers
- Manages weekly CSO Leadership Team meetings. Coordinates strategic discussions and activities.
- Creates and maintains bi-weekly updates for SVP, CSO and Director to accurately track initiatives across the research enterprise
- Works with the SVP, CSO and Director to organize project reviews
- Prepares and assists with the preparation of reports and presentations using various applications
- Responsible for making routine business and financial decisions and judgment calls that may impede the operational flow by analyzing problems, exercising professional judgment and making timely decisions
- Contributes to strategic planning to identify annual goals and objectives
Executive Support (40%)
- Manages calendar and daily activities for the SVP, CSO. Appropriately communicates and resolves scheduling conflicts.
- Manages reviews and submissions of documentation that requires executive approval. This includes proofreading for correctness and maintaining database.
- Composes formal and informal correspondence
- Exercises independent judgment and decision-making in handling incoming and outbound information and material
- Manages VIP guest visits
- Monitors operating budget as directed
Other duties as assigned.
EDUCATION:
Required: Bachelor's degree.
Preferred: Master's degree.
EXPERIENCE:
Required: Five years related experience to include three years program management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience.
Preferred Experience: Experience providing administrative support to executive/senior leaders of large organizations, meeting coordination, project planning and execution. Strong organizational skills and the ability to process large amounts of information quickly. Strong technical aptitude/ability to quickly learn new systems and applications. Proficiency in Microsoft Office products (Word, Excel, PowerPoint, etc.).
