Description
This Executive Assistant opportunity will work to support a cohesive and engaging leadership team within our HR & Employee Experience division. Leadership support will be provided for Vice President and Director level roles and will offer a variety of responsibilities ranging from calendar management to event planning.
This collaborative position will work out of our Minnetonka, MN office5 days per week and will have the opportunity to partner with other administrative professionals across the organization. Successful candidates will have strong interpersonal skills with a professional demeanor and sound judgement with discretion while managing sensitive or confidential information.
Qualifications:
- Minimum requirement is HS diploma, or equivalent
- 2 years Experience supporting leadership at a Director level or above
Skills and Abilities:
- Organizing and scheduling appointments as well as various meetings
- Meeting support: preparing materials, coordinating room arrangements including technology
- Booking travel arrangements and facilitating expense reporting
- Serving as a main point of contact for internal and external clients
- Submitting recurring 3rd party invoices into Concur to initiate the internal expense approval process
- Experience supporting multiple executives within a fast-paced environment
- Experience arranging MS Teams virtual meetings and teleconferences required
- Previous background working within and maintaining confidential information required
- Must possess strong organizational, time management, verbal and written communication skills
- Excellent conflict resolution skills and able to work under pressure
- Resiliency and ability to adjust to dynamic situations
- Ability to self-initiate, offer creative alternative thinking to develop and implement cost and performance efficiencies
- Strong interpersonal and relationship-building skills
- Thorough understanding of technical, operational and administrative processes
