Student Inclusion and Diversity Associate
Position Description:

In the role Student Inclusion and Diversity Associate in the Department of Academic Affairs' Student Inclusion and Diversity Divison you will perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to visitors. This role will support programs and initiatives for the following missions: 1) advance student inclusion and belonging; 2) provide support and opportunities for diverse individuals interested in health science careers; 3) MCW as a destination for underrepresented students; and 4) community engagement related to the other aims specifically.
Primary Functions
Administrative Coordination:
- Anticipate and initiate action regarding administrative functions while coordinating and leading projects.
- Prepare agenda and complete minutes for Office of Student Inclusion and Diversity group meetings.
- Compose correspondence as needed, which may contain confidential information.
- Use complex functions of a variety of computer applications and software packages to develop macros and templates (e.g. creating spreadsheets and surveys).
- Proofread and format documents to ensure accuracy.
- Screen telephone calls and visitors to resolve complex inquiries.
- Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements.
- Compile data and information from multiple sources to prepare reports.
- Distribute mail and organize filing systems accurately maintaining records
- Identify, enhance, and follow specific processes and procedures to maximize the efficiencies of Office of Student Inclusion and Diversity.
- Prepare and retain records, files, and reports.
- Coordinate, plan, and implement office activities and procedures for Office of Student Inclusion and Diversity.
- Assist with coordination of staff recruitment, interviewing and hiring.
- Process and distribute incoming and outgoing correspondence and mail.
- Facilitate communication between Office of Student Inclusion and Diversity and other departments and divisions as well as community including e-mails and website
- Execute special projects such as space allocations, relocations, and major equipment purchases, national and international meeting organization.
- Coordinate special projects such as workshops, retreats, and committee meetings.
- Represent the division on task forces and committees as appropriate.
- Participate in division and departmental strategic planning.
Service and Program Coordination:
- Coordinate small- and large-scale events related to student life.
- Assist in the preparation, support, and execution of events related to education and pipeline programs
- Coordinate award and scholarship programs and opportunities for students.
- Coordinate writing letters of support for students (e.g. medical student performance evaluation, letters of recommendation).
Budget Coordination:
- Assist in budget preparation and monitoring expenditures.
- Process payment requests, requisitions, and invoices.
- Initiate purchase order requests, check requests, and travel expenses.
Knowledge – Skills – Abilities
- Knowledge and skills related to mathematics, word processing, data management, administration, program coordination, English language, customer service, student services.
- Work requires resource management, mathematics, problem solving, coordinating work activities, critical thinking, systems analysis, operations analysis, time management, writing, active listening, and active learning skills.
- Speech clarity, speech recognition, finger dexterity, and wrist-finger speed while operating computers abilities required.

Preferred Schedule:
Full-time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate business needs.

Minimum Required Education: Associate degree
Minimum Required Experience: 3 years of related work experience
Preferred Education: Bachelor's degree
Preferred Experience: Higher education; equity, diversity and inclusion
