What are the responsibilities and job description for the Operations Specialist position at Medical Practice (KHS)?
We are in search of an Operations Specialist to join our team. This role is responsible for assisting in operations of client medical practice operations processes. You will work with the physicians and practice managers to effectively manage the practice and resolve operational issues. The Operations Specialist position is to also ensure all provider credentialing is maintained and completed as well as other analytic responsibilities.
Essential Functions:
- Provides leadership in developing, planning and implementing the clinic’s business plans to the physicians. Monitors key physician practice financial ratios including A/R ratio, collection ratio and overhead expense ratio.
- Works with the practice to recommend, develop, and implement improvements for the practice
- Informs physicians about current trends, problems and medical activities to update policies and practice
- Assists in establishing and securing approval for clinic operating policies and procedures
- Enhances operational effectiveness, emphasizing cost containment without jeopardizing important innovation or quality of care
- Ensures clinic compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies. Continually monitors operations, programs and physical properties. Initiates appropriate changes
- Assists in the overall marketing activities of the practice
- Represents the clinic in its relationships with other health organizations, government agencies and third party payers
- Assists with all practice managed care relationships, including monitoring or related reimbursement, negotiation with third party payers, provider credentialing and maintenance of contracts
- Serves as liaison and channel of communication between the hospitals, health plans, insurance companies and regulatory bodies
- Maintains professional affiliations and enhances professional development to keep current in the latest health care trends and developments
- Scan and file all Credentialing and Contracting documents in the electronic filing system with an emphasis on timely and accurate completion
- Responsible for provider credentialing including preparing applications, submitting supplemental documentation, follow up on participation status and reporting
- Monthly maintenance of HIPAA/Compliance system as well as adding and removing user accounts, assisting with password resets and implementation of policies.
- Responsible for ordering client medications daily as well as inputting orders into tracking spreadsheet and reconciling expenses to Quickbooks report monthly.
- Travel to Medical Clinics weekly within Alabama and Huntsville
Qualifications:
- Bachelor’s Degree in healthcare related field from 4 year accredited institution; or 5 or more years of experience in the field and on the job training may be substituted for formal education.
- 1 year office setting experience preferably in the healthcare field
- 1 years credentialing experience
- Excellent communication & analytical skills
Travel:
Must be able to arrange for regular travel to clinic sites as necessary.

- Stand or Sit – Must be able to remain in a stationery position (standing or sitting) 100% of the time
- Walk – Must be able to move freely about the office in order to complete daily tasks
- Use of hands/fingers – Consistently operates a computer in order to enter clinic information, send emails, or perform other work duties as required
- Stoop/Kneel/Crouch/Step Stool – Occasionally must position self to obtain stored supplies and/or use step stool
- Talk/Hear – Frequently communicate with co-workers, patients, clinics, and insurance representatives. Must be able to exchange accurate information
- Carry/Lift – Occasionally must lift supplies or equipment up to 25 lbs.·
