JOB SUMMARY: The HIM Supervisor coordinates and monitors the staffing and technical activities required for HIM administration. Work involves supervising HIM staff in order to assure timely and efficient workflows. The Supervisor also helps prepare, maintain, analyze, and report trends for Regulatory charting needs, diagnosis capture/denials, staffing needs and budgetary recommendations. Work also includes reviewing the quality of EHR and record keeping process, developing new ways to collect and report medical record statistics, and supervising the preparation of correspondence to release medical record information.
PERFORMANCE DIMENSIONS AND TASKS
Essential Function
1. Plans, assigns, and supervises work of staff; interviews and trains staff; resolves complaints; develops methods for monitoring quality subordinates’ work; documentation for and conducts performance evaluations; and trains HIM Staff.
2. Manages and coordinates a system for safeguarding and updating active and inactive patient medical records.
3. Manages and coordinates annual purge and storage solutions; following retention policy regulations.
4. Recommends and implements operating policies and procedures.
5. Serves as an advisor on medical records policies and consultant to medical staff.
6. Trains and supervises HIM personnel in the daily operations of the department to include timekeeping needs. Orients new staff to the relationship and interaction of medical records unit with other units of department, both internally and externally.
7. Oversees the processing of subpoenas and depositions consistent with legal/HIPAA regulations.
8. Reviews in-house chart scanning/analyses completed by HIM staff; ensures medical records are provided in a timely manner upon request; documents the number of incomplete charts and their status.
9. Reports and resolves problems related to medical record scanning/entries and re-analyzes records for quality check.
10. Develops new or revised procedures, forms, and reports for accumulating, editing, and disseminating MMHS statistics.
11. Supervises staff in preparing correspondence to release medical record information to third parties, give depositions, and may appear in court regarding the admissibility of medical records as evidence.
12. Reviews the maintenance of indices and registers for continuous quality control and for compliance with federal, state, and agency regulations and third party payers.
13. Oversees timely production and distribution of patient identification to include scanning/archiving needs.
14. Organizes work of medical transcription equipment, determines priorities and movement of transcribed reports to ensure completion within prescribed turnaround time, and compiles and distributes reports.
15. Knowledge: HIM record keeping principal practices.
16. MMHS policies governing admissions, discharges, release of information, and of related requirements and accreditation standards.
17. Demonstrates knowledge of and is able to train office procedures and statistical techniques for medical record keeping.
18. Formulate and implement plans to carry out department direction.
19. Maintains and secures all written and electronic medical records within the MMHS’s HIM department or its equivalents.
20. Assist Health Information Management in keeping abreast of new computer technologies or new regulations enacted by Medicare, Medicaid, and insurance companies.
21. Evaluates performance, implements corrective action on areas needing improvement or re-training.
22. At the direction of the Health Information Management participates on applicable committees and recommends policy changes as necessary.
QUALIFICATIONS
Education: High School Diploma or equivalent
Work Experience: One year full-time experience in Healthcare Information Management in an accredited hospital or an affiliated health agency – Preferred.
Medical office, acute care hospital or other health care setting clerical experience - Preferred.
One year full-time experience in a supervisory capacity – Preferred.
Licensing Requirements: RHIA or RHIT – must obtain within 2-years of hire date at employee’s own expense – Required.
Language Requirements: Bilingual (English/Spanish) preferred.
Physical Demands: Must be able to sit up to 6 hours or more and stand/walk up to 2 hours or more per day. Must be able to use hands repetitively for 4 hours or more. Must be able to lift up to 10 pounds.
