Scheduling Coordinator Overview
Schedules staff for the Adult Program. Completes all aspects of payroll functions for the department. Manages staff attendance and advises department directors of violations of policies and procedures, including Time and Attendance Policy and work rules. Manages the time off request process and the extra shift request process in accordance with policies, ensuring adequate staffing while minimizing the use of overtime.
Schedule and Salary Information
- Monday- Friday 8a-4:30p or 7a-3:30p
- Starting Rate: $19.57/hour ( ) based on years of experience
Requirements
- Bachelor’s degree strongly preferred; Minimum requirement of 50 College Credits.
- A valid US driver’s license and a minimum age of twenty-one (21) years old. Must be capable of attaining approved Melmark driver status.
- Must be proficient in Windows Operating Systems and Microsoft Office. Strong excel skills and strong math skills are essential. Must be detail oriented, have good problem solving skills, organizational skills and must have exceptional interpersonal and communication skills.
- Prefer at least one (1) year experience with staffing, scheduling and/or payroll.
Scheduling Coordinator Responsibilities
- Upon direction from Program Directors, adds and/or revises schedules for the Adult Program area. Ensures approved scheduling models are not changed without required approval. Ensures updates to schedules are made in a timely and accurate manner.
- Receives and reviews all time off requests daily. Reviews staffing levels, number of time off requests for a given day and other pertinent factors, and awards or denies time off requests in accordance with policies. Ensures timely responses to staff on approvals or denials of time off requests.
- Receives and reviews all extra shift requests on a daily basis. Awards extra shifts in the most cost effective manner and in accordance with policy. Ensures staff awarded extra shifts are notified in a timely manner.
- Ensures on- call phone is covered from 9:00 AM – 5PM Monday through Friday
- Notifies appropriate manager of callouts and keeps managers apprised of the status of finding replacement coverage.
- Reviews all timesheets on a daily basis, ensuring accuracy and completion, and coordinating correction of timesheets as appropriate and in accordance with policies. Ensures all comments and pay codes entered are correctly, appropriately and according to prescribed policies.
