What are the responsibilities and job description for the Administrative Assistant | Part-time position at Mendonca & Partners CPAs LLC?

The Administrative Assistant position will consist of duties including but not limited to:

  • Process tax return reconciliations (organizing files before giving it to clients, calling clients to pick up their returns, scanning supporting documents, preparing documents to be sent to IPS or other agencies)
  • Assist/backup Admin Assistant II with the application of cash and sending daily deposits to partners via email
  • Backup Admin Assistant II in preparing, processing, and entering payroll and expenses weekly
  • Reconciliations of credit cards, assisting/backup with monthly closings, preparing invoices, and other administrative tasks as needed by internal administration.
  • Reconciliation of Accounts Payable daily basis
  • Alarm maintenance – providing new keys and codes to eligible employees
  • Entity Tax status reports weekly (Feb-April) and monthly (May-Dec)
  • Act as a backup/coverage for the Receptionist; greeting clients, answering phones, and scheduling various appointments for partners and professional staff

  • Exceptional communicator
  • Multi-lingual a plus (Spanish, Portuguese, and/or Italian preferred based on demographics and client list).
  • Ability to meet strict deadlines, be reliable, organized, dedicated and effective as a team member
