Your Role:
The Executive Assistant will support our Carlsbad Viral and Gene Therapy manufacturing site is a contract manufacturing site that produces drugs for gene therapy and oncology applications. Reporting directly to the Carlsbad Site Head, the successful candidate will support the site and leadership team by performing essential functions including the reception of visitors, managing the main phone line and mail, managing office supplies, maintaining the site director calendar, meeting management and catering, and event planning.
Key Responsibilities:
- Serve as primary contact for the company, greeting and establishing a rapport with employees, welcoming all clients and visitors, and ensuring that site contacts are notified of their arrival
- Manage main phone line inquiries, voice mails, and delivery of site mail
- Provide administrative assistance including drafting memos, preparing site communications, collating and formatting slide decks
- Support site leadership as needed for meeting organization, including scheduling and organizing catering when necessary
- Manage office supplies and general-purpose ordering
- Maintain the Site Head’s calendar by planning and scheduling on-site and virtual meetings as well as coordinating and booking travel arrangements
- Plan and coordinate various site events and celebrations
Who You Are:
Minimum Qualifications:
- High school Diploma or GED
- 3 years of administrative experience
Preferred Qualifications:
- Bachelor’s degree
- Experience in a contract manufacturing or biotech/pharma environment
- Experience with supply management
- Experience managing a budget and preparing expense reports
- Proficient with Microsoft Word, Excel, and PowerPoint, with strong writing and editing skills
- Demonstrated ability to communicate effectively and professionally with management and diverse employee populations as well as external stakeholders
- Strong organizational skills and self-motivation
- Ability to work efficiently in a dynamic environment, balance multiple activities, and communicate timelines to requestors in a positive and professional manner
- Ability to take initiative and anticipate needs, exercising independent and sound judgement
- Demonstrated professionalism and ability to manage sensitive information with confidentiality and discretion
Pay Range for this Position- $42,300- $98,700
Our ranges incorporate all levels and career types available within this specific role, and are derived from relevant industry market data. Should we decide to make an offer, we will consider several factors, including but not limited to your location, skills, experience, career level, and other job-related factors.
