Description of Position:

We are seeking a highly organized and dynamic individual to serve as the Administrative Assistant to the Assistant Superintendent of Student Supports. The successful candidate will be responsible for providing comprehensive administrative support to the Assistant Superintendent of Student Supports while maintaining the utmost confidentiality and professionalism. This role requires excellent communication skills, the ability to problem-solve, and a strong commitment to working collaboratively with families, and school staff. The Administrative Assistant performs confidential and highly responsible duties, as well as office functions, including but not limited to state data reporting, CT SEDS, expulsions, and invoicing. The candidate of choice should have excellent interpersonal skills and demonstrate the ability to work closely with state agencies, families, and district departments. The Administrative Assistant acts as an intermediary for the Assistant Superintendent when requested.

Responsibilities:

  • Administrative Support: Provide administrative assistance to the Assistant Superintendent of Student Supports, including managing schedules, coordinating meetings, and preparing correspondence and reports.
  • Communication: Serve as a primary point of contact for internal and external communications, demonstrating professionalism in all interactions.
  • Problem-Solving: Proactively identify and address challenges, demonstrating critical thinking and problem-solving skills to ensure efficient operations.
  • Family and Staff Engagement: Collaborate with families and school staff to address inquiries, resolve issues, and facilitate positive relationships within the school community.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality in all aspects of the role.
  • Technical Skills: Possess strong technical skills, including proficiency in Google Workspace, PowerSchool, and ParentSquare as well as a willingness to learn new tools.
  • Office Management: Oversee the daily operations of the office, including managing supplies, equipment, and budgets to ensure a well-organized and efficient work environment.
  • Board of Education Interaction: Coordinate with the Board of Education on behalf of the Assistant Superintendent, including scheduling meetings, preparing materials, and facilitating communication as needed.

Qualifications:

  • Proven experience in administrative support roles, preferably in an educational or similar setting.
  • Excellent communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
  • Strong problem-solving abilities and a proactive approach to addressing challenges.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong technical skills with proficiency in Google Suite of Tools, Microsoft Office, PowerSchool, Parent Square, and other relevant software applications.
  • Highly organized with excellent time management skills and attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Preference will be given to candidates who have proficient technology skills and have five (5) or more years of executive secretarial experience.
