Shorefront Jewish Community Council (SJCC) provides support to help meet the human and social services needs of the indigent elderly, vocationally disadvantaged poor, and immigrant populations of Brighton Beach and surrounding communities. Currently, SJCCs main services consist of case assistance/management, operating a large food pantry, and immigration services, and a large portion of its clients are Russian-speaking older adults, including a large number of Holocaust survivors. SJCC also assists in coordinating development, civic affairs and economic revitalization in the area. SJCC additionally fosters neighborhood stabilization in order to serve the needs of the community at large.
Position Summary:
The Special Assistant is responsible for supporting the Executive Director through a combination of project management, writing and editing, research, and high level administrative and relationship support functions. The Special Assistant will coordinate special projects, compile information and complete complex reports and analysis. Additionally, they will work independently or with senior leadership, interface with external stakeholders. Sensitivity to confidential matters, a high level of professionalism, tact and diplomacy are paramount.
Principal Responsibilities:
- Receptionist oversight and/or coverage as needed.
- Responsible for general office management, including, but not limited to maintenance of office equipment, facilities, mailing, inventory and ordering of supplies.
- Provide administrative support to the Executive Director, including schedule management, responding to calls, and assisting with agency priorities.
- Organize and coordinate functions, events, site visits, and audits.
- Preparation of releases to the media, promotional materials, publications, and other correspondence.
- Maintenance of organizational records (financial and programmatic) and documents in accordance with contractual requirements and SJCC policies;
- Develop and prepare funding applications, proposals, RFPs, detailed statistical, and fiscal reports to funding sources and stakeholders.
- Grant writing: research and identify potential new sources of funding for SJCC services, engage prospective funders to determine compatibility, prepare required applications and supporting materials to secure funding.
- Monitor contract compliance by preparing monthly statistical reports and analyzing program data and records.
- Liaise with the SJCC Board of Directors to set-up and prepare meetings, maintain documents and correspondence, and other follow-up as needed.
- Assist in the development of new programs, expansion of existing programs and identifying capacity building opportunities for SJCC.
- Under the direction of the ED coordinate various capacity building initiatives including project planning, implementation, monitoring, and reporting.
- Represent SJCC in community and interagency activities, meetings, task forces, and workgroups as needed.
- Additional responsibilities as required.

- Exceptional administrative, analytic, and organizational skills.
- Excellent oral and written communication skills; creative writing ability; advanced word processing and spreadsheet proficiency (including the ability to design and mimic forms, charts, graphs and produce and format newsletters);
- Tech-savvy, very comfortable with new technologies, varied computerized systems, and able to explain technology to those who are not tech-savvy.
- Team oriented, non-hierarchal, with an anticipatory working style, and creative problem solver.
- Ability to manage multiple projects, and competing priorities while adhering to deadlines.

Skill and Education:
- Bachelors degree; or Associate's degree in human services and one year of human services experience; or High School degree and three years of human services experience preferred.
- Russian-language fluency preferred.
Physical Demands:
- Required Constantly: Walking, sitting, grasping, bending, stooping, squatting, computer input, finger dexterity and coordination of hand, eye and foot.
- Required Frequently: Standing and climbing stairs; carrying laptop & files (approx. 8-10 lbs).
- Required Occasionally: Reaching above the shoulder, and lifting 5-25 pounds, pushing and pulling.
Compensation: $25 - $35 per hour
