POSITION SUMMARY:
The Office Clerk will be responsible for the day to day office functions. Candidate will be responsible for performing the general record keeping and communication activities for the department. They will work to ensure sustainability and customer satisfaction related to these areas. This position reports to the Office Manager.
Responsibilities:
Answering the phone and transferring calls
Sorting and delivering incoming mail and collecting and sending outgoing mail
Create documents, maintaining databases and sending memos and emails
Running errands and making deliveries around the facility or to external parties
Collecting, filing and organizing office documents, such as reports and confidential records
Managing digital document filing, including encrypted documents and email correspondence
Monitoring office inventory and ordering supplies
Transcribing or taking notes during meetings and writing minutes, memos and/or agendas
Preparing or processing invoices
Assisting with accounts payable and accounts receivable, including simple bookkeeping and banking tasks
Perform other related duties as assigned
Qualifications and Experience:
Minimum 1 year of Office assistant and/or Customer service; or similar role
Knowledge of office machines (e.g. fax, printer etc.)
Knowledge of MS Office (especially Excel and Word)
Sense of ownership and pride in your performance
Exceptional time management and organizational skills.
Effective communication skills, including writing, speaking, and active listening; English and Spanish
Education:
High school diploma or equivalent. Completion of business administration, bookkeeping or other preparation coursework at a community college or technical school is preferred.
Physical Requirements:
Must be able to lift up and push up to 25 pounds at a time.
Must be able to work in a variety of weather conditions and temperatures in the warehouse and on the loading dock.
Must be able to work extended hours if necessary.
Ability to stand, walk, bend, sit, climb, move hands and arms to grasp and manipulate objects by pushing and pulling.
