Position Title: Executive Administrator
Metro’s mission is to connect people, places, and opportunities through quality transit services. Metro is seeking a motivated, dynamic and resourceful Executive Administrator for the CEO. In this role, the Executive Administrator is exposed to a wide range of projects focusing on scheduling, coordinating, advancing, and supporting organizational priorities for the CEO across a range of activities. Candidates should be passionate about Metro’s mission and helping the organization continually improve and execute its work to the highest standards.
The Executive Administrator should be a self-starter who acts independently, directs one's own work and can handle diverse tasks quickly and accurately within a high-performance environment. This position also works as an integral member of Metro leadership, working closely with various Department Heads to advance specific initiatives and priorities.
Schedule: Monday - Friday 8:00 a.m. – 4:30 p.m.

Compensation: $60,840 - $74,360
FLSA Status: Exempt
Essential Job Duties and Functions of the Executive Administrator, include but not limited to:
- Provides complex administrative and analytical support to the Chief Executive Officer (CEO).
- Scheduling:Maintains assigned executive’s calendar; checks appropriateness of requested meetings, schedules, and confirms appointments
Resolves scheduling conflicts and accommodates special requests
Communicates with staff and stakeholders regarding appointment availability
Screens calls and visitors and refers callers/visitors to appropriate staff members
Arranges meetings for the CEO with outside stakeholders and Metro staff
Prepares agendas and facilitates meeting preparation (e.g., room reservation, room and technology set up)
Creates and distributes meeting minutes as needed
- Develops and maintains filing systems, records, and logs, including computerized database files
- Assists the CEO in developing, planning and executing Metro-wide communications, agendas, priorities, and materials such as All Staff engagements and messages
- Works with Deputy Executive Officer and Department Heads to prepare the CEO for internal and external meetings, presentations and events; provide staff support to/at external meetings, activities and events and ensure timely follow up of all action items
- Coordinates across departments and tracks status of projects, initiatives and CEO directives
- Serves as Secretary for the Board of Directors in accordance with the Nebraska Open Meeting Act (submits open meetings notices, prepares and distributes agendas, board packets, and meeting minutes, and facilitates roll call and recording of votes)
- Proofreads complex written material and prepares written correspondence on behalf of CEO including emails and letters of support
- Promotes Metro’s mission, vision, values and initiatives to continually enhance organizational culture.
- Other duties as needed.
Minimum Requirements for the Executive Administrator:
- Excellent attention to detail and follow-through with the ability to plan, organize and control large and small projects through to completion
- Proficient use of computers and working knowledge of Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
- Maintain the utmost discretion and integrity, especially pertaining to confidential matters
- Must be able to work in a fast-paced environment with demonstrated ability to handle multiple tasks, with a proven ability to work effectively and collegially under pressure
- Ability to understand, interpret, and apply laws, rules, regulations, policies and procedures
- Strong verbal and written communication skills
- Exceptional interpersonal skills with proven ability to build trust, confidence, respect, and effective working relationships among individuals at all levels of the organization and with stakeholders and community partners
- HS Diploma or equivalent with 5 years of comparable experience. Ability to pass a pre-employment physical, drug screen, and complete background check.
