Michael Baker is actively seeking an Administrative Assistant to join our Northern California Operations team in Rancho Cordova and support departments that include planners, architects, engineers, and geographic information technology specialists. The Administrative Assistant will provide full-time, on-site, administrative services to a dynamic and cross-discipline team of professionals across three offices (Rancho Cordova, Walnut Creek, and Oakland). In addition to internal operational assistance, the Administrative Assistant will support client activities, especially in engagement assignments that require logistics and event planning experience.

- Must possess excellent communication, planning, and organizational skills to support leadership and project managers in the group. Must be proactive in anticipating the needs of department leads and managers.
- Must possess significant scheduling and database experience in order to coordinate multiple schedules, projects, deliverables and to become the database administrator for financial accounting needs and business development systems – including data entry, report production, and overall control and monitoring of corporate systems in support of the organization.
- Assist as necessary with editing, printing, and assembly of reports, presentations, or marketing materials using provided style guides.
- Attend meetings, as required, and take detailed notes. Prepare meeting minutes for review, approval, and distribution.
- Coordinate travel arrangements for Michael Baker International staff as needed.
- Assist with scheduling multiple calendars and meetings.
- Assist with managing budgets and other financial matters.
- Coordinate projects that may involve working with all levels of internal management and staff.
- Prepare and manage expense reporting for all project managers and above within the office.
- Organize staff engagement events as needed, including events potentially in the evening and weekends. Interact with
- Support and help create team-building and social events within the organization and Rancho Cordova office.
- Responsible for managing the office executive’s calendar and meetings and supervising lower level staff such as
- Lead the procurement of materials and supplies in support of the organization.
- High School diploma and have 5 years of related work experience. Higher education is a plus.
- Proficiency with Microsoft Office suite. Experience with InDesign is a plus.
- Database management experience required.
- You’ll need to have excellent communication skills for internal associates and external clients; have experience in

- Excellent English language skills, written and verbal, are essential to success in this role.
- Document control experience is a plus.
