POSITION DESCRIPTIONPOSITION TITLE: MPA DIRECTOR OF MEETINGS & EDUCATION POSITION SUMMARYThe Director of Meetings & Education is a full time, exempt, salaried staff position. The Director of Meetings & Education has responsibilities associated with all functions of the Education Department including program development, meeting planning, record maintenance and budget development. The Director of Meetings & Education also serves as the staff liaison for various education committees. The Director of Meetings & Education supervises the Meetings and Education Manager. The Director of Meetings and Education serves as the coordinator for accrediting continuing education programs through the Accreditation Council for Pharmacy Education (ACPE). This position reports to the CEO.

  • PRIMARY RESPONSIBILITIES
  • Departmental Management Develop and monitor the Education Department's budget in cooperation with the Meetings and Education Manager, Director of Finance and Administration and Chief Executive Officer. Provide the accounting department with all required financial information related to the activities of the Meetings and Education Department.
  • Responsible for the strategic planning and implementation of educational activities of the Organization, participate in weekly management team meetings, monthly staff meetings and MPA Executive Board meetings and strategic planning retreats, and other meetings and events as requested.
  • Serve as the Organization’s administrator to the ACPE, ensuring compliance of ACPE guidelines including maintenance of required documentation and reporting. This also includes periodic ACPE reviews and written reporting.
  • Responsible to develop, update and/or maintain standard operating procedures and related documents that are utilized in program development.
  • Sources meeting space and leads contract negotiations. Pre-, onsite-, and post-event staff lead for all detail/order coordination and vendor management.
  • Works directly with Director of Marketing & Communications for exhibitor needs and details for ACE, MSHP Annual, as well as crafting messaging and schedule for event promotions.
  • Ensure timely generation and distribution of annual education reports to the membership and committees.
  • Continuing Education Program Development Directly responsible for the planning and implementation of the MPA Annual Convention and Exposition, the MSHP Annual Meeting, MSCP/MSPT Annual Meeting, Northern Michigan Pharmacy Educational Seminar and miscellaneous programs as assigned.

  • Oversee and manage all functions of the continuing education process, including analysis and determination of presentations, securing speakers, submitting documentation to ACPE, keeping records of the submitted documentation, processing registrations, on-site execution, and maintenance of related files.
  • Responsible for all verbal and written contact with speakers, including solicitation, confirmation, documentation, reservations, transportation, and compensation.
  • Budget financial resources to support educational programs and social functions for educational programs and related social events.
  • Oversee and manage contractual negotiation, confirmation, meal and room reservations, on-site registrations, and miscellaneous functions.
  • Responsible to develop promotional materials, including design, typesetting, printing, productions, and distribution. In addition, prepare promotional materials for MPA publications and/or website postings, including design and typesetting in cooperation with the Communications Manager as well as prepare and submit timely updates for assigned web pages.
  • Oversee the development and delivery of the APhA Immunization Certificate Program, webinars, home studies and all other activities being implemented by the MPA Meetings and Education Manager.
  • Manages National Alliance of State Pharmacy Associations (NASPA) Point-of-Care-Testing partnership program.
  • Oversee the Joint Providership process that the Meetings and Educations Manager owns.
  • MiscellaneousServe as staff liaison to the MPA Education Task Force and MSHP Educational Affairs Committee, and MSCP Educations and Communications Committee -- including the documentation of minutes and agendas, clerical work, etc. Also, serve in an advisory capacity to the Practice Sections and Affiliated Chapters’ educational committees including attending MSHP Committee Days.Serve in advisory capacity to miscellaneous social event planning as requested. Perform all other duties as assigned.
  • POSITION REQUIREMENTS
  • Qualifications

Registration, certification, and or licensure required: Certified Meeting Planner preferred.

  • Education and/or Training

Related college degree, hotel/restaurant management of specialized training in meeting planning. A high school diploma with two years’ experience in a similar field or position.

  • Experience

Minimum two-years’ experience in related field. Proven written and verbal communication skills. Problem-solving and decision-making skills are required. Must be able to work well with people. Must be proficient with computers/word processing/desktop publishing including knowledge of Microsoft Office.

  • Desired Skills and/or Qualities

Strong basic financial management skills. Must be able to work independently and capable of managing multiple tasks and giving direction. Must be able to make quick, informed decisions independently.

  • Work Schedule

This position works a 36.25-hour work week, except for the weeks prior to and during the MPA Annual Convention and Exposition. The Director of Meetings and Education is expected to work additional hours as needed to complete assigned tasks prior to the Convention. The Director of Meetings and Education is expected to attend the Convention each year and perform all duties and responsibilities as assigned for these days.
