Position Overview:
The Facilities Coordinator plays a crucial role in ensuring the smooth operation of a company's facilities and related services. This position requires a blend of administrative, organizational, and communication skills to manage various aspects of facility management effectively.
Office and Facilities Responsibilities:
Filing and Record-Keeping:
- Maintain organized filing systems for efficient record-keeping.
- Ensure proper documentation and filing of office-related records.
Supply Ordering:
- Manage office supplies procurement to maintain adequate stock.
- Coordinate with vendors for timely ordering of necessary materials.
Administrative Support:
- Assist with general administrative tasks to support office operations.
- Provide administrative support to team members as needed.
Onsite Calibration Scheduling:
- Coordinate scheduling for onsite calibrations as primary contact.
- Collaborate with laboratory team leads and customers for accurate scheduling.
Customer Support (Facilities):
- Address customer inquiries and concerns during onsite service.
- Act as liaison between customers, customer service, and laboratory team leads.
Documentation and Billing (Facilities):
- Ensure completeness and accuracy of onsite billing packets.
- Track and monitor onsite paperwork for timely billing.
Schedule and Logistics (Facilities):
- Manage internal scheduling calendars to prioritize team tasks.
- Monitor schedule compliance and identify improvement opportunities.
- Track company vehicle usage for onsite activities.
Communication (Facilities):
- Build and maintain relationships with internal and external customers.
- Assist in communicating onsite calibration requests and updates to customers.
Requirements and Skills:
- High school diploma or equivalent required.
- 2 years of office experience required.
- Proficient in Microsoft Word and Excel and a typing speed of 40 words per minute.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and in a team with minimal supervision.
- Responsive to challenges with short deadlines and willingness to perform other assigned duties.
- Outstanding communication skills for effective interaction with team members and stakeholders.
- Exceptional organizational, time management, and prioritization abilities.
- U.S. Citizen or U.S. Permanent Resident Status required.
Job Type: Full-time
Pay: $18- $25 (DOE)
