Position Information
The Light Truck Service Assistant/Cashier assists customers who are picking up serviced vehicles by providing the invoice to the customer, answering questions, and resolving concerns. This includes processing payments for work completed. Will also be responsible for performing clerical tasks in the Light Truck Service Office. The Light Truck Service Assistant must have typing, ten-key, computer entry, phone communications and skills. Will act as the final interface with the customer.
Essential Job Function & Qualifications
ESSENTIAL JOB FUNCTIONS
- Computer entry of all customer pay, Ford warranty and internal repair orders.
- Answer telephones, provide customer assistance and accepts payments on repairs orders.
- Type customer and insurance company correspondence, and miscellaneous forms and other documents as assigned.
- Maintain Service Department files.
- General secretarial duties, including typing, filing, answering the telephone, taking telephone messages for assigned persons and preparing out-going mail.
- Operate and control maintenance of office machines, including fax machine, photocopier, typewriter, adding machine and computer.
- Monitor customer appointments.
- Work with salesman to set up 1st service appointment for sold vehicle.
- Assist with customer follow up after service visit.
- Required to be at the cashier area at all times except for company authorized breaks, as stated in employee handbook and when performing cashier responsibilities.
- Builds productive working relationships, consults with others as necessary. Has an approachable style; fosters open communication through active listening. Takes initiative to help others as needed.
- Promotes cooperation and teamwork through actions.
- Follows up with customers regarding unpaid invoices.
- Maintains composure in dealing with customers.
- Ensures receipts are consistent with repair order totals.
- Refers customers who have additional questions about their repair order to the Service Advisor or other appropriate individual.
- Coordinate with other dealership employees to provide service to customers.
- Identifie and support opportunities for methods/process improvement.
- Recommend improvements for the department.
- Work with department managers to keep abreast of new products and services offered, their features and value, and any changes in price.
- Perform other tasks as assigned.
QUALIFICATIONS:
The Light Truck Service Assistant/Cashier must possess a professional appearance and quality attitude. Must be able to relate and communicate with customers and Light Truck Service personnel, able to read and comprehend instructions and information, and must speak clearly and courteously on the telephone and convey a professional attitude to walk-in customers and callers. Two years of office experience required and excellent communications and customer service skills required.
WORKING CONDITIONS:
This position involves mostly secretary work. The Light Truck Service Assistant/Cashier will work at a desk in an office enclosed within the Service Department. S/he will be required to use office machinery such as a computer, typewriter, fax machine, adding machine and copy machine. S/he will, for part of the work day, stand, bend, stoop, kneel, crouch and reach. S/he will lift and transport files weighing up to 30 pounds from time to time. S/he will be exposed to noise, vibration, paint, dust, exhaust fumes, and other hazardous and non-hazardous materials.
