EXECUTIVE ASSISTANT JOB SUMMARY:
The Executive Assistant is responsible for identifying and addressing the needs of senior leaders and performing administrative tasks to ensure Miles Partnership’s workflow runs smoothly.
EXECUTIVE ASSISTANT RESPONSIBILITIES:
- Provide general administrative support and serve as liaison to the President through consistent contact.
- Gather, investigate, research and analyze information affecting the company’s work.
- Maintain multiple calendars, arrange meetings and appointments, and provide reminders.
- Reserve meeting rooms and coordinate room setup and catering, when needed.
- Prepare and manage meeting agendas, presentations, supporting documents and meeting minutes, as needed.
- Make travel arrangements (registration, flight, hotel, rental car, etc.) and prepare trip itineraries.
- Complete and submit bi-monthly expense reports.
- Prioritize work, especially email management, including prioritizing and assigning emails to team members for completed and/or follow-up.
- Manage information flow in a timely and accurate manner.
- Take thorough notes and accurately enter data.
- Develop and utilize an efficient documentation and filing system.
- Manage confidential and proprietary information with absolute discretion.
- Perform project work in all business areas as necessary.
REQUIREMENTS:
- Working knowledge of a marketing and advertising agency business.
- Proven experience as an executive administrative assistant/senior executive assistant.
- Ability to gather/compile information from several sources and build-out presentations and support presentation creation.
- Full comprehension of office management systems, technologies and procedures.
- Excellent knowledge of MS Office and Google Docs, Sheets and Slides.
- Exemplary planning and time management skills.
- Critical eye for detail and able to quickly troubleshoot and analyze work.
- Able to work collaboratively with all senior management and teams.
- Able to manage own workflow while coordinating with project teams and management on schedules, requirements, goals, and assignments as needed.
- Willing to take direction if and when needed, but also work independently.
- Able to respond positively to customer and peer criticism and feedback.
- Able to communicate clearly and concisely, both verbally and in writing.
- Able to effectively manage relationships, both internally and externally.
- Displays a dependable, strong work ethic.
- Able to work in a fast-paced, professional office environment.

- Occasional travel required, sometimes requiring an overnight stay and off-hours communication.
- PACE, ACEA or other certification preferred

COMPENSATION: $70,000 - $75,000 DOE
