Millenia Partners is Commercial Real Estate Office based in Orlando, Florida that is active throughout the South East in various components of Commercial Real Estate Brokerage, Development and Asset Management, is seeking a spectacular candidate to be their executive leadership’s right hand and anchor support.
Position: Executive Assistant
- Start Date: Immediate
- Salary/Benefits: $45-50k Salary depending on experience and qualifications; Health benefits stipend for private insurance of team member’s choice; Paid Leave & Holidays
- Hours: Full-Time – Monday through Friday
- Location: Millenia Partners Office - Orlando, Florida
The ideal candidate will be:
- Maintaining comprehensive and accurate records
- Organizing meetings, including scheduling, sending calendar invites & reminders, and organizing video / tele conferences when necessary
- Welcoming incoming phone calls and visitors and identifying the purpose of their call/visit before directing them to the appropriate departments
- Monitoring, filtering and flaging emails, which includes responding to emails, drafting memos, and preparing communications on the executive’s behalf. Significant correspondence will be done by Executive dictation
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Proficiency with apple mail, word, adobe acrobat, excel, google sheets is required.
- Act as representative of executive leadership regarding internal and external relations and correspondences and screening communications.
- Ensure that executive leadership is informed of priorities, deadlines and challenges
- Respond to a wide variety of request for information, policies and procedures and executive action
- Analyze needs and problems and determine the approach, priority and delegation as needed
- Assist with lease & contract administration as needed including obtaining signatures / docsign, scanning and electronic filing as well as some lease & contract renewals and communicate to relevant executive leadership member next steps
- Organize and manage all digital files for executive leadership
- Assist in ordering and picking up office supplies, providing back-up administrative support to other departments as necessary
- Maintain confidentiality in all aspects of team and company information
- Operate independently with minimal supervision
- Works effectively with the Executive leadership to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Manage sensitive matters with a high level of confidentiality and discretion.
Preferred Qualifications:
- Three (3 ) years of experience supporting administrative functions at the executive level ideally in commercial real estate (but not required)
- Excellent organizational skills, verbal and written communication skills, time management skills and proven ability to meet deadlines, strong attention to detail and problem solving skills, ability to prioritize tasks and function well in high-paced environment
- Ability to show and demonstrate on a consistent basis initiative, professionalism, poise and flexibility and work within an environment of frequent interruptions, conflicting priorities and varying workloads
- Ability to observe strict confidentiality in all aspects of services provided
- Strong character capable of representing the company’s values of high integrity and professionalism
- Should be proactive and a self-learner.
- Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external contacts
- Highly developed written communication skills, including report writing, presentations, email correspondence and verbal communications skills, particularly in dealing with people of diverse backgrounds
- Excellent calendar management skills and demonstrated history of complex scheduling with consistent follow through
- Proven ability to work independently as well as on teams; strong project management skills; ability to effectively exercise discretion and judgment in handling confidential/proprietary information
- Ability to work well under pressure while maintaining a professional demeanor
