Job Summary:

Responsible for providing a variety of HR tasks and administrative services to an Engineering and Technical Support departments at a major medical device company.

Responsible for front desk duties in a fairly quiet low traffic visited office. Will be able to have an inside cubicle for day to day work task. Support internal employee request.


Essential Functions:


1. Direct report to President and VP of R&D , dotted line day to day duties provided by and supporting HR

2. Assisting in preparing engineering project reports by deadlines. Help manage, schedule and calendar inter-department meetings with colleagues in China.

3. Assists with travel reports and arrangements for management and visitors. Bi-lingual Mandarin skills a plus

4. Responsible for professional appearance of common areas, coordinates office equipment maintenance supporting facilities and IT department.

5. Works with HR to maintain office safety, compliances, confidential matters.

6. Assist HR with coordination of employee functions, town hall meetings as well as other HR related duties as needed

7. Coordinates the details and planning of company events and meetings.

8. Schedule and order weekly site lunch. Replenish refreshments in conference and breakroom. Maintain office supply inventory


Decision-Making Authority:

  • May determine methods and procedures in working on new assignments
  • Works on some assignments that may require good judgment.
  • Initiative is required in resolving problems and making recommendations for improvement.

Position Specifications:

1. Knowledge/Educational Requirements

  • College strongly preferred
  • Confident PC skill
  • Minimum 4- 6 years related administrative experience

2. Skills and Abilities

  • Congenial interpersonal skills to interface with all staff
  • Must possess excellent manners and be etiquette savvy
  • Must have warm, approachable personality
  • Ability to work in fast-paced, multi-tasking environment
  • Proficient with various software applications – Word, Excel, PowerPoint, Concur
  • Excellent oral and written communication skills
  • Possess strong organizational ability with attention to detail
  • Ability to take initiative to prioritize projects

3. Physical Demands/Work Environment

  • Normal office environment with limited overtime
  • Deadline pressures; changing projects
  • Varied interruptions
  • Some lifting required, not to exceed 25 pounds

Salary : $72,000 - $86,000
