The Third Judicial District is seeking qualified applicants for a full-time customer focused and team-oriented Court Operations Associate to join the Courtroom Clerk Unit of the Olmsted County Court Administration team in Rochester.

This position involves in-person and Zoom courtroom clerking, chambers responsibilities and advanced clerical case processing to provide effective administrative support for court caseloads. It requires the application of independent judgment in following and interpreting policies and procedures, excellent attention to detail, a considerable amount of data entry, and requires the ability to manage competing demands simultaneously.  The duties of this position involve frequent contact in the courtroom, via e-mail and on the telephone with members of the public, outside agencies, litigants, and attorneys.
    
The primary work location for this position is the Olmsted County Government Center, 151 4th Street SE, Rochester, Minnesota 55904. Standard hours of work are Monday - Friday, 8:00 am - 4:30 pm.

The following are examples of major job duties expected for this position to perform:  

  • Perform in-courtroom clerking duties, in court processing, update the court's computer system with relevant details of hearings while court is in session, administer oath, accept exhibits etc.  
  • Perform technical court case processing within the Court’s computer systems.
  • Perform clerical support duties for Judicial Chambers.
  • Provide high quality customer service in person, on the phone, and over email by identifying customer needs and responding to questions and inquiries from members of the public, attorneys, and justice partner agencies.  
  • Review legal documents for completeness, adequacy, accuracy and compliance with rules; determine processing required and take necessary action in accordance with court rules, statutes, and procedures.  
  • Review documents to determine accurate security access level while working within the court's computer systems to initiate and file documents.  
  • Determine proper routing of Orders and other filings and take necessary action in accordance with court rules and procedures.

MINIMUM QUALIFICATIONS    

  • High School Diploma or Equivalent
  • One (1) year of relevant job experience or greater, which may include but is not limited to service, administrative work, office, and clerical work.
  • Experience using electronic applications, such as Microsoft Office Suite and Adobe Acrobat, and the ability to learn job related software.    
  • Experience providing exceptional service while working under pressure in a high volume, fast-paced environment.    
  • Ability to multitask and prioritize duties while remaining flexible and adaptable to change.    
  • Ability to effectively communicate verbally and in writing, including the handling of sensitive and confidential matters.
  • Ability to read, comprehend and explain rules, statutes, legal documents, policies and procedures of varying complexity.    
  • Ability to establish and maintain respectful, and effective working relationships with others.    
  • Ability to work in an inclusive, multicultural environment and professionally exhibit cultural sensitivity.     
  • Ability to begin new tasks with little supervision while maintaining a high degree of accuracy in work product and demonstrating attention to detail.   
  • Ability to make independent judgments and decisions.     
  • Excellent public service and interpersonal skills, including the ability to de-escalate difficult interactions.    
  • Reliable with the ability to meet commitments of work duties.   
  • Willingness to be a team member who is accountable, skilled, efficient, flexible, motivated, and positive.   
PREFERRED QUALIFICATIONS:
  • Certificate or degree in a related field.
  • Considerable knowledge of court procedures, policies, and records management.
  • Experience working with the Minnesota Court Information System (MNCIS) and eFile and Serve (EFS).
