What are the responsibilities and job description for the Patient Care Administrator position at MINT dentistry?
Overview
The Patient Care Adminstrator is the patient’s first impression of the office and is primarilyresponsible for greeting patients and maintaining the flow of the lobby area while relayinginformation to the front staff team, clinical team and the Office Manager. They report directly tothe Office Manager.
Responsibilities
- Infuse the values of love, generosity, and perfection
- Monitors, manages, and maintains scheduling of patients for their office to anticipate patient’s arrival and needs
- Maintains the lobby/reception area, front desk, and restrooms tidy/clean. Keeps supplies, snacks, and water stocked.
- Follows the lobby disinfecting protocol
- Offers Mint amenities, water, and snacks to patients
- Ensures all patients are checked on every 5 minutes throughout their visit
- Smiles and greets all guests upon entry into the office
- Ensures patients are seen in a timely matter
- Assists the patients with paperwork completion and troubleshooting electronic issues
- Determines and relays wait times based on clinical staff updates to waiting patients and informs clinical staff when a patient is ready to be seated.
- Balances the patient flow, taking into account their requests
- Checks on patients while they are waiting in the waiting area to ensure they feel welcomed and are as comfortable as possible.
- Utilizes Mint scripts to greet, answer phones, and check in/check out patients
- Escorts patients to operatory if clinical team is unavailable
- Responsible for encouraging patients to provide feedback regarding their experience
- Assists with other duties as assigned by Office Manager to maintain office effectiveness and efficiency
Additional Duties and Responsibilities
- Manages office email, phones, and voicemail
- Responsible for checking in patients upon arrival and aids in appropriate preparation for their appointment
- Performs patient intake, checkout and all processing of patient paperwork and maintenance of their records.
- Acquires photos of all new patients and add them to their file
- Acquires patient consents for any treatment necessary
Qualifications
- High school diploma or GED
- Customer Service experience
- Retail/Restaurant host experience preferred
- Dental Experience preferred
- Fun, energetic and professional attitude at all times
- Must be detail oriented, and possess the ability to work independently and maintaintime well
- Excellent verbal and written communication skills
- Ability to multitask and work in fast paced environment

Working Environment and Physical DemandsThe working environment for this position is a typical office setting usually seated for extendedperiods of time using a phone, computer, printer, and scanner and to complete work.
