Responsibilities:

MSTS is seeking an Administrative Specialist I to support the Records Administration department and report to the Records Administration Manager. The professional in this role, provides company-wide Records Management and Document Control support.


Key Responsibilities
  • Complete customer requests to locate and distribute records consigned to the Local Records Center (LRC).
  • Review and approve electronic records inventories submitted through iCon.
  • Provide customer assistance with scheduling records, both electronic and paper copy.
  • Review procedures and provide assistance with the Records Management section, i.e., identifying and scheduling records.
  • Provide support for consignment, retrieval, and records destruction processes.
  • Scan and index document into iCon; reviews, indexes, distributes, and files engineering drawings - ensures the latest versions are distributed and determines if drawings are duplicate copies or new and need to be added to iCon.
  • Perform technical historical research and gathers data needed by the Contractor, Laboratories, and other NNSA/NSO contractors; scans and converts files/drawings from microfilm, microfiche, and aperture cards to electronic format; and performs OCR services upon request.
  • Perform other duties assigned by Management.
Qualifications:
Due to the nature of our work, US Citizenship is required for all positions.
  • Bachelor’s degree in a business related field or equivalent training and experience.
  • Knowledge of records management, document control principles and enterprise content management (ECM) systems.
  • Able to apply knowledge of principles, concepts, and theory related to professional business discipline/field related to the position and employ a systems approach to address issues and to define and resolve problems.
  • Able to use software applications needed in the position, including word processing, spreadsheet, presentation, database, etc. and general office equipment.
  • Skill to apply discretion and judgement in performing work and with implementing improvements to existing processes.
  • Skill in the application of analytical and evaluative concepts, methods, and techniques to identify, consider, and resolve issues or problems dealing with readily observable conditions such as work-flow, office layout, working conditions, etc.
  • Knowledge of administrative systems such as word processing software, accounting software, database software, desktop publishing software, document management software, electronic mail software, Internet browser software, spreadsheet software, video conferencing software, and other office procedures and terminology. Able to utilize creativity, initiative, and ability to apply knowledge and experience to resolve problems and compose technical correspondence and reports.
  • Able to work at alternate locations when needed.
  • Able to prioritize and schedule multiple activities in the most efficient manner and meet required deadlines.
  • Able to follow oral and written instruction, and follow through on all assignments.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Able to deal with pressure of handling multiple tasks, complaints, frequent interruptions, and time constraints.
  • Be able to lift up to 50 pounds.
  • The primary work location will be at the Losee Road facility in North Las Vegas, Nevada (subject to change).
  • Work schedule will be 4/10s Monday through Thursday (subject to change).
  • Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
  • Must possess a valid driver’s license.
Ability to obtain a HSPD-12 Personal Identity Verification credential under the Department of Energy Order 206.2, ‘Identity, Credential, and Access Management,’ and Supplemental Directive NNSA SD 206.2, ‘Implementation of Personal Identity Verification for Uncleared Contractors.’

Annual salary range for this position is: $50,668.80 - $76,003.20.

Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
