JOB: Executive Director
EXEMPT: Yes. Salaried
STANDARD HOURS: Average 25 hours per week, flexible
SUMMARY: Successfully manages sponsorship, fundraising, outreach, grants, public relations, finances and assists with productions with consistent achievement of annual goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, not intended as an exhaustive list of expectations and other duties may be assigned.
Sponsorship
Develop and produce sponsor renewal communications, annual fundraising brochure, and potential new sponsor packets.
Send sponsor renewal letters and secure sponsorship renewals
Monitor and document donation income for cash and in kind sponsors, including website donations
Follow up on renewals with calls, emails as needed
Recruit new sponsors and create proposals
Issue correspondence including tax receipts, thank you and logos for all sponsors
Contact sponsors for ticket preferences, issue/deliver tickets
Coordinate reservation and release of sponsor tickets with Ticket Chair
Ensure sponsors receive all promised benefits (publicity, tickets, etc.) and receive sponsor feedback
Outreach
Maintain email list of school contacts (public schools, private schools and homeschool groups)
Recruit potential schools for school field trip show attendance
Coordinate annual Nutcracker outreach performance
Seek out community engagements and assist with arrangements as needed
Grants
Submit MAC grant application and final report
Submit various open grants
Research and apply for additional grants as available and appropriate
Document, including with photographs, activities related to MAC grant and other grants throughout year, especially attendance, attendance by age, attendance by race
Submit additional grant reports as required
Financial
Draft annual budget with artistic director, present to board for approval, monitor budget compliance throughout the year.
Submit Payment Card Industry compliance annually
Ensure annual Secretary of State charity filing is completed by treasurer
Assist with day-to-day accounting activities as needed (paying bills, making deposits)
Public Relations
Write press releases for productions, MAC grant, other newsworthy items (general and specific to local media as requested by artistic director)
Coordinate publicity with school newsletters and social media
Increase company visibility by submitting calendar events to local publications
Assist and coordinate with social media planning and publication; respond to messages and comments as appropriate.
Productions
Oversee special fundraising events
Coordinate and ensure sponsorship logos are provided and displayed
Assist with contract of choreographers/guest artists.
Reserve hotel rooms, assist with transportation and meals for guest artists and choreographers.
General
Conduct annual surveys of dancer parents, ticket holders and others.
Produce annual report including information on outreach events, artistic accomplishments and financial stability for electronic publication to sponsors and on website
Assist with maintenance of website and ticket sales site
Assist with intra-company communication
Oversee and direct guild activities related to fundraising and events
Other duties as assigned
SUPERVISORY RESPONSIBILITIES: None.
QUALIFICATION REQUIREMENTS: Data analysis using a variety of sources including ticket sales site and Quickbooks. Basic knowledge of Quickbooks, recommended not required. Strong computer skills including working knowledge of GMail, Google docs, other Google products, Microsoft office products to include spreadsheets and forms. Strong writing skills, including development of various public relations materials.
Strong social media skills, including the ability to develop, implement and track success of social media campaigns
