Responsibilities:

Project Coordination: Collaborate with the Commercial Sales team to oversee all aspects of assigned projects, including scheduling, resource allocation, and budget management.

Client Communication: Serve as a primary point of contact for clients, contractors, and internal stakeholders, maintaining regular communication to provide updates on project progress and address any concerns.

Documentation Management: Maintain accurate project documentation, including take-offs and quotes, contracts, submittals, purchase orders, change orders, invoices, and project plans, ensuring all files are organized and up to date.

Vendor Relations: Coordinate with vendors and subcontractors to assist in the procurement of materials and services required for project execution, identify cost saving opportunities, negotiate pricing and terms as needed to optimize cost efficiency.

Quality Assurance: Conduct periodic site visits and inspections to ensure adherence to project specifications and quality standards, addressing any issues or deviations promptly.

Answer Submittals: Prepare and submit responses to submittal requests from clients or contractors, ensuring compliance with project requirements and seeking approval during the construction or procurement process.

Risk Management: Identify potential risks and obstacles to project success, implementing proactive measures to mitigate challenges and minimize disruptions to the construction process.

Reporting: Generate regular progress reports and presentations for internal and external stakeholders, highlighting key milestones, achievements, and areas for improvement.

Team Collaboration: Work closely with cross-functional teams, including Sales, Purchasing, Production, Shipping/Receiving, Prefinished and /Service/Installation, to facilitate seamless coordination and alignment throughout the project lifecycle.

Other Duties as Assigned: Provide sales and project support for large projects outside of the Commercial Sales team as time and volume dictates.

Qualifications:

Proven experience in project coordination or management within the construction industry, with a focus on commercial or multi-family projects.

Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively in a fast-paced environment.

Excellent communication and interpersonal skills, with the ability to build rapport and foster positive relationships with clients and team members.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Knowledge of construction processes, building codes, and industry regulations.

Ability to adapt to changing project requirements and deadlines, demonstrating flexibility and resilience in challenging situations.

Valid driver's license and willingness to travel to project sites (locally) as needed.
