Position Details
The University opened in 1927 and was initially called Eastern Montana State Normal School at Billings and was established to prepare teachers for elementary schools in eastern Montana. MSU Billings has grown, with the city of Billings and Yellowstone County, into the major urban comprehensive higher education center of south central and eastern Montana. The University campus consists of four colleges: the College of Arts and Sciences, the College of Business, the College of Education and the College of Allied Health Professions. Seven miles west of the University campus sits City College at MSU Billings, which serves the comprehensive two-year mission of the university.
This position will manage the following areas:
Student Organizations:
- Execute the annual registration process and student organization recruitment activities. Provide support for student organizations which includes offering assistance with paperwork, record keeping, and financial procedures; providing resources and materials; and offering guidance and assistance with student organization matters and events.
- Track and maintain student organizational records.
- Develop and implement training and resources for Student Organizations and Student Organization Advisors.
- Publish newsletters, provide consistent communication with student organizations, and monitor organization activities.
- Oversee the coordination of a common student events calendar
- Assist with the marketing of student organization and campus events and programs including creation and distribution of promotional materials. Create and manage distribution of weekly campus leak.
- Coordinate and maintain any software dedicated to student organizations and student life.
- Support Social Media for The Center for Engagement: This includes assisting student organizations in complying with University social media guidelines.
- Organize and facilitate monthly Club Connection Meetings
Student Activities:
- Organize and implement events sponsored by the Center for Engagement, which includes, but is not limited to, Welcome Week, Power of One, Leadership Recognition Program, Student Employee Engagement Day and New Student Orientations.
- Organize and implement events for City College students (can be done in partnership with SAB).
- Co-Advise/Advise The Student Activities Board (SAB). Assists the board in execution of: contracts, liability insurance, budget and event management. Attend SAB meetings and events and work with SAB Chair to develop training and leadership opportunities for board members.
- Coordinate Student Life components of New Student Orientation. This is to include recruitment components for Student Organization involvement, programs, and events for new students to participate and learn about student life at MSUB. Coordinate the large scale evening programs.
- Serve on Campus wide Committees which support student engagement: Strategic planning committees, etc.
Student Leadership:
- Coordinate and implement student leadership events and trainings including but not limited to; student leadership day and the leadership recognition program.
- Oversee the planning and implementation of leadership programming at MSUB. This includes but is not limited to any leadership programming with current or future MSUB students.
PHYSICAL & SCHEDULE DEMANDS
This position requires various weekend and evening hours based on the events scheduled in the building or student activities. This person must be flexible and willing to work long days (12-16 hours) during special events or as needed. This person must be willing to carry a cell phone and be on call at times during hours while the building is open. This position requires physical lifting as necessary and understanding of technical equipment.
- Bachelor’s Degree
- Experience in managing programs and events
- Ability to effectively communicate (written and oral)
- Experience with meeting facilitation and coordination
- Ability to use independent judgement, analysis and evaluation in problem solving -Ability to present to a wide variety of audiences
- Ability to initiative and work under own direction -Experience advising and supervising leaders/employees
- Experience with marketing/promoting programs and events
- Computer and basic audio-visual proficiencies (Canva, Microsoft Office)
- Experience working in higher education
