Project Coordinator

Responsibilities:

• Facilitate communication between office and field.
• Responsible for issuance of purchase orders
• Responsible for setting up projects, enter project budgets, enter schedule of values, enter budget revisions for change orders, clean up committed costs, close projects.
• Obtain permits, coordinate onsite inspections, comply with contract specifications for proper approvals, e.g., Bonding.
• Responsible for R. G. A. issuance and control, subsequent credits and issue resolution.
• Review and verify A/P invoices against purchase orders and prepare for approval. When there is discrepancy with Purchase order, communicate with vendor & PM to resolve and get credit issued.
• Initiate and maintain legal files, by job for appropriate period of time.
• Prepare timecards for approval and entry into payroll system.
• Prepare all T & M billings by job. Reconcile job cost reports and edit for accuracy and completeness.
• Coordinate with Accounts Payable and Department Manager to assure contract billings are accurate and timely and issue all necessary paperwork.
• Issue weekly job costing reports to Department Manager. Issue monthly job costing reports to VP of Service / Department Manager.
• Perform other duties assigned by Department Manager

Qualifications:

• High School Diploma or GED
• Experience in construction project coordination a plus
• 5 years of administrative experience; experience in accounting a plus
• Exceptional customer service and communication skills, both written and verbal
• Strong organizational and time management skills with the ability to prioritize and multi-task
• Ability to work individually with a teamwork mindset
• Excellent computer skills including Microsoft Office, email, and internet usage
